Teams copying Planner from one channel to another within a team

  1. When I create a plan in a new channel .  It asked me if I want to copy the plan from another.  This is great.  Its what I want to do. Use the plan from another channel as a template so I don't need to make the tasks over again but can just assign new dates.  But if I copy then they are always a perfect copy of each other.   If I change a to do date on one it changes it on the other.  If I add a task on one plan it adds it on the other.  If I go to my task list it only shows one of the lists tasks not both.  If I rename it, it just keeps updating as if it were the same list.   I wanted the list to be like a template not linked.  I can’t find any settings to alter.  Can you help?

    Dear Jill,

As an Independent Advisor and community user, I'll help you with your question.

If you want to use an "original template" and then use it in different groups, what you could do is the following:

In any web browser open the following link (Planner):

https://tasks.office.com/, sign in with your work account.

There, create a new plan (+ New Plan) that you could call "Template", create it according to your preferences,

It can be even with "Tasks" default, after creating it, click on "Planner hub" under "+ New Plan", there you will see your Plan Template, in the same plan button in the upper right you will see a button (Ellipses ) (...) click there, and you will have the "Copy Plan" feature, place a definitive name relative to your Team channel,

and then, select the Office 365 Group corresponding to your Teams, you can even make a selection to include in your new plan: (Attachments, Priority, Dates, Descriptions, List marks and Tags).

This process can be done for each channel of your team in Microsoft Teams, then in the channel, add the Planner tab and use the "Use an existing plan from this team" option.

See more information in the following link:

    Regards,

    Renzo.

The step that I missed is that the plan needs to be copied in the web application "Planner" and then you add the new copied plan to your teams channel.

Go to Planner for steps 1-3, then open Teams for steps 4-6:

    1. In Planner, find your plan "Template". (https://tasks.office.com/, sign in with your work account.)
    2. Select the three dots in the upper-right corner, choose the "Copy Plan" option.
    3. In the Copy Plan dialog box:
      • Change the name of the "Copy of [Template]" plan to match the Teams Channel you are going to add it to.
      • Choose the Teams Group that has the Channel where you want to access this copied plan.
    4. Open Microsoft Teams. Go to the channel where you want to add the copied plan.
    5. Add tab "Tasks by Planner and To Do" and choose "Use an existing plan from this team" option.
    6. Choose the copied plan you have created.

Hope that helps! It is a bit clunky, but once you do it a couple of times you will get the hang of it.

Hi Petra, some of the steps need to be completed in the Planner web application. If you try to follow the steps only in Teams it will not create a copy, it only links the same plan to another channel. Try to follow the steps in my response above.

Hi! Which step did you miss please?

I added the template to the Team. I create the first channel and added the template. I created a second channel and added the template.

The templates are synced, any time I mark something as done, it changes on all the channels...

Hi Renzo - this still does not work when copying a team to a different Channel, correct? Only when copying to a new or different Group.
