With the 2018 Fall update for Dynamics 365 Business Central we have some new features specifically related to managing users security. I've been getting a lot of questions and wanted to put out a blog with a few pieces of information and tips to go along with the official documentation.

You can find detailed documentation on these security features in the following link: https://docs.microsoft.com/en-us/dynamics365/business-central/ui-how-users-permissions

Creating custom Permission Sets
You cannot modify the existing\default permission sets. I recommend that you copy an existing permission set and then modify it to fit your needs. There is no 'encyclopedia' of permissions or a guide to what grants you access to certain things.

Recording permissions
There is a super useful new feature that allows you to record the permissions required for performing tasks. This feature is great for determining what permission are needed for accessing certain pages or areas of the product. I see this being more useful for figuring out which permissions you need to REMOVE from an existing permission set when you're fine tuning the existing ones you've copied.

When you use the recording feature you need to leave the 'Permissions' page open when you start the recording. I recommend starting the recording and then using the 'Search' feature to navigate away to perform the tasks you want to record. When you're finished you can close out of the new pages you've opened to get back to the 'Permissions' page and stop the recording.

Effective Permissions page
This page is great for seeing why someone has access to something and which Permission sets are granting it. It will also show you the 'Entitlement' at the bottom which is showing you if the License assigned to the user is granting them the proper access or not. Users must have the proper permissions assigned as well as a license that allows them to access the product properly.

If you're familiar with the 3 features above and how they work and compliment each other, you should be able to handle any security questions or concerns that arise.

Here are some things you should know and look for if you’re experiencing problems with the ‘Edit in Excel’ feature. Some of these may be updated in the future to work differently. Things are constantly changing in the SaaS world!

You must be on Office 2016 16.0.6868.2060 or later version of Excel.

A partner cannot use their ‘Delegated Admin’ credentials with ‘Edit in Excel’. This may change in a future update as we know it’s a feature partners would like to utilize.

‘Edit in Excel’ will automatically connect to your production environment, even if you launch it from the Sandbox environment. (this may change in a future update)

‘Edit in Excel’ works over port 7048. Speak with your Network admin to make sure you can communicate on this port through your Firewall.

‘Edit in Excel’ will give you an error about not finding the company if your company name contains an ‘&’ symbol. I’m not aware of any other symbols that break the functionality, but it’s certainly possible.

‘Edit in Excel’ is built on the Dynamics 365 Excel add-in. There is a good troubleshooting guide that can be found at the following site and applies to ‘Edit in Excel’

There is a new connector available in Power BI desktop that you can use to build reports for Dynamics 365 Business Central. When you have Power BI desktop opened, navigate to:

'Get Data'

'Online Services' > 'Microsoft Dynamics 365 Business Central'

As long as you are signed in with a user that has access to Business Central it should automatically load up a list of your existing companies. You can drill down into the companies to connect directly to your published Web Services to build reports.

Since this connector is using AAD authentication, any reports that you create can be saved to the Power BI website and shared with other users.

You must have the latest version of Power BI desktop (April 2018) for the new connector to show up.

We have had questions, and there has been some confusion, about what can be done when a user is assigned a Team Member License with Dynamics 365 for Finance and Operations, Business Edition. I hope this blog can help clarify. I have pasted a table below that is the most recent and up to date description on what can be done as a Team Member, please review.

**Please note that Purchase Quotes are not yet in Dynamics 365 for Finance and Operations, Business Edition, but this is something that will be included in a future release. Currently there are no purchasing type documents that can be created by a user with a Team Member license assigned. When Purchase Quotes are added, then there will be a purchasing type document for Team Member users to create.

In summary, Dynamics 365 for Finance and Operations, Business Edition Team Member users can do the following:
- Read anything that’s enabled in Financials or any other Dynamics 365 Application
- Update existing data and entries in Financials - Existing data are records like customer, vendor or item records which are already created. Entries means entries on which it is specifically allowed from an accounting perspective to update specific information. (e.g. due date on customer ledger entries)
- Approve or reject tasks in workflows assigned to a user
- Create, edit, delete a sales quote (purchase quotes are in development)
- Create, edit, delete personal information
- Enter a Time Sheet for Jobs
- Use PowerApps for Dynamics 365

After a recent update, users have noticed that columns that they had before are suddenly missing...

After a recent update, users have noticed that columns that they had before are suddenly missing from pages like journals and posting setup. Columns like Debit Amount, Credit Amount, and Sales/Purchases Discount Accounts are marked as columns to display but they aren't showing up in lists.

To resolve these situations you can do the following:

To ensure that Debit Amount and Credit Amount columns show in journals you can do the following: Make sure Show Amounts is set to All Amounts in General Ledger Setup. You can use the search to find the General Ledger Setup window or follow these steps:
1. When using the Business Manager role, click Home on the left navigation.
2. Choose Setup & Extensions.
3. Expand Manual Setup.
4. Click Finance.
5. Select General Ledger Setup.
6. In the General section click Show More if available to see all fields in the section.
7. Locate Show Amounts and make sure it's set to "All Amounts".

Note: There is a current known issue that even when making the change above, Debit Amount and Credit Amounts columns will not show when Journals are accessed through Batches. To avoid batches use the search to find the journal you are looking for like, Payment Journal, and select the Payment Journal option that has the clipboard with a checkmark in it. This will take you to the journals directly and avoid batches.

To ensure that Discount columns show in posting groups you can do the following: Set Discount Posting to All Discounts in Sales & Receivables Setup and Purchase & Payables Setup. You can use the search to the Sales & Receivables Setup and the Purchase & Payables Setup window or follow these steps:
1. When using the Business Manager role, click Home on the left navigation.
2. Choose Setup & Extensions.
3. Expand Manual Setup.
4. Click Sales.
5. Select Sales & Receivables Setup.
6. In the General section set Discount Posting to "All Discounts".
7. Now select Purchasing under Manual Setup and click to open Purchase & Payables Setup.
8. In the General section set Discount Posting to "All Discounts".

A sandbox environment (Preview) is a non-production instance of Financials. Isolated from production, a sandbox environment is the place to safely explore, learn, demo, develop, and test the service without the risk of affecting the data and settings of your production environment.

Additional documentation regarding a sandbox environment can also be found here: https://docs.microsoft.com/en-us/dynamics365/financials/across-how-create-sandbox-environment

To create a sandbox environment:

You must have a subscription to Financials to be able to create a sandbox environment. There can only be one sandbox environment per subscription. You can also reset your sandbox environment at anytime back to the original environment.

Sign in to your production instance of the Financials service.

Choose the icon, enter Sandbox Environment, and then choose the related link

Select Create.
Another tab in your browser will open for finishing the setup of your sandbox environment.

When the sandbox environment is ready, you will be redirected to sandbox environment's Welcome wizard.

Choose Learn more to read about scenarios that you can try in a sandbox environment. Or, choose Close to continue to the Role Center of your Financials sandbox instance.

At the top of the Role Center, a notification appears to inform you that this is a sandbox environment. You can also see the type of the environment in the title bar of the client.
Original Tenant URL: https://<tenantname>.financials.dynamics.com
Sandbox Tenant URL:https://<tenantname>-sandbox.financials.dynamics.com

In the sandbox environment, a brand-new tenant has been created. This tenant is loaded with default demonstration data for the CRONUS company. No data is copied or otherwise transferred from the production environment during the sandbox creation.

You can use the Sandbox environment to enable Advanced functionality in the Dynamics 365 for Financials and Operations, Business Edition (currently known as "Tenerife"). To do this choose the icon, enter Company Information. Set the User Experience field to Advanced.
