Segments is the starting point of customer journeys in Dynamics 365 for Marketing. The segment...

Segments is the starting point of customer journeys in Dynamics 365 for Marketing. The segment builder is a very powerful tool to build even the most complex dynamic segments.

However, I often get asked how to build the most simple segment - a segment built off of a static marketing list.

This will enable scenarios like those where a seller (perhaps working in Dynamics 365 for Sales, which also provides access to the marketing lists) can add a contact to a marketing list, in order to include that contact in customer journeys.

#1 Create a static marketing list

Create a static marketing list in the Dynamics 365 for Marketing app (or the Sales app), and add a couple of contacts to the marketing list

#2 Create a segment

Navigate to Segments (1) and delete the default profile (2)

Expand the profile drop-down

Pick Marketing List (we will target a named marketing list)

Expand the property drop-down and select the Name property

Expand the operator drop-down and select the Is operator (or maybe Contains)

Type the name of your Marketing List (1) and then click +Add (2)

Expand the profile drop-down

Select the relationship Marketing List <-> Contact (listmember_list_contact) to return the contacts in (the members of) the named marketing list

#3 Publish
Segments won't populate before they're published (Live).
Name your segment (1) and Go Live (2)

Wait a few minutes, refresh the screen, and see your contacts added to the segment

We now have a segment to handle the members of a static marketing list. Sellers can add more contacts to the list if they need them included in a customer journey.

Below I've added a third contact (Ava Rich) to the marketing list "Zoo" and after about 30 minutes the marketing list has been synched with the insights cloud and the segment is updated

Thank you.

Until 2018 customers in need of marketing automation with their Dynamics 365 had to opt for third-party solutions, like ClickDimensions.

Now many Dynamics 365 customers are looking at Dynamics 365 for Marketing to turn prospects into business relationships, for reasons like cloud architecture, intelligence, performance, vendor strategy and more.

The features in Dynamics 365 for Marketing are abundant - and with hundreds of developers working on the app, and the value from infused intelligence, its just getting better and better.

Social posting

Social posting

With the upcoming April 2019 release of Dynamics 365 for Marketing you can create social content for multiple channels and schedule social posts to hit the web in sync with your overall campaign.

This lets you synchronize audience communication across channels using a single platform.

Social posting is enabled by a new outbound activity that can use dynamic content when posting on social media sites, starting with Twitter. We will be adding more channels over time.

First Look

As a very first look into this great new capability try navigating to Social Posts, click New and setup a social post

Note: you must authenticate your Twitter account under Settings -> Advanced Settings -> Social Configurations before you can post via Dynamics 365 for Marketing)

Give the post a name, pick the social channel (in this early release the only option is Twitter), type your message and select the scheduling (eg. Post Now)

When done click Save & Close to save and close plus post the message

You can verify the post has been posted in Active Social Posts view

..as well as on your Twitter account

Early Access

You can test out the new capabilities well in advance of April if you desire so, via the new Early Access program.

You can opt-in for the April 2019 early access in your tenants Power Platform Admin Center - navigate to Environments > (your instance for testing recommend a SANDBOX) > Settings > Updates (the below screenshot reflects the fact that I've opted in already - if you haven't opted-in already, then this is where to do it)

Important: you can only revert the opt-in by resetting the instance - which is why I highly recommend trying the early access out on a sandbox instance)

This is only the beginning of the social capabilities in the Dynamics 365 for Marketing - the app that just gets better and better and better.

Dynamics 365 Voice of the Customer (VoC) lets you create and send out surveys, so that you can get...

Dynamics 365 Voice of the Customer (VoC) lets you create and send out surveys, so that you can get valuable feedback about your products or services.

Using the Net Promotor Score (NPS) question type in VoC you can capture a respondents satisfaction based on the likelihood that he or she will recommend the product or services to a friend, and automatically categorize the respondent into one of three categories (promoter, passive, or detractor).

But what if you are looking for more detail – eg. comments to the NPS score, and whether those comments can be seen as positive, neutral, or negative? A respondent might be a promotor in terms of the NPS, but still has a negative comment you’d need to pay attention to.

Using the Long Answer question type and NPS Comment response mapping field in VoC you can ask the respondent to add a comment to the NPS score he/she gave and map the answer to the NPS Comment response mapping field.

Using Microsoft Flow you can then send the answer (raw text) to the Text Analytics API in Azure Cognitive Services to analyze the answer for clues about positive or negative sentiment. The API returns a sentiment score between 0 and 1 for each answer, where 1 is the most positive.

Finally, again using Microsoft Flow you can populate a field on the Survey Response record to hold the sentiment score.

All in all you’ll be in a position to spot if a respondent to a NPS survey (regardless of NPS Score) submits a negative comment.

Steps to spot negative comments in a NPS survey

Sign up for Text Analytics – link

Get endpoint URL and Access Keys for calling the Text Analytics API – link

Setup up a survey with NPS question, Comment, and response mapping

Setup a Flow to analyse the NPS comment and return the Sentiment score

For step 1 and 2 above I’ll just refer you to the links in the documentation (see above) – and focus more on step 3 and 4 in the rest of this blog post.

Setup up a survey with NPS question, Comment, and response mapping

Create a new survey

From the Survey Parts task pane drag a Net Promotor Score (1) field and a Long Answer (2) field on to the page

Edit the header and question texts

Map the Long Answer field to the NPS Comment response mapping field

Publish the survey.

Setup a Flow to analyse the NPS comment and return the Sentiment score

Create a new flow from blank, with a trigger of a Dynamics 365 record created (2)

For Organization Name point to your Dynamics 365 organisation (1), for Entity Name select Survey Responses (2) and then click + New step (3) to start defining the next step

The next step is an action to send the NPS Comment to the Text Analytics Service

Search for sentiment (1) and then select Detect Sentiment (preview) (2)

If this is your first time using Text Analytics you'll need to enter the endpoint and access key from step #1 and #2 above

For the Text to analyze select the NPS Comment field in the Dynamics content drop-down (1) and then click + New step to start defining the next step

The next step is a Dynamics 365 action to update a record, ie. write the sentiment score returned from the Text Analytics API back to the Survey Response record (we will just write the value into the the response mapping field Generic Number 20 for simplicity)

Type dynamics (1), select Dynamics 365 for Customer Engagement (2), and then Update a record (preview) (3)

For the Organization Name select your Dynamics 365 organisation (1), for the Entity Name select Survey Responses (2), for the Record Identifier select Survey Response (3)

Then click Show advanced options (4), scroll down to the Generic number 20 field (5), and select the Score field (6)

Scroll down to the bottom and click Save to save and activate your flow.

Testing the Flow

In VoC, open the survey, click the anonymous link in your survey (1), fill out the questions (2&3) and then click Submit (4)

Still in VoC, navigate to Survey Responses and check out the sentiment score (held in the Generic number 20 field in this example). In this example the comment has resulted in a score close to 0 (zero) indicating a negative sentiment.

I hope you will find good use of the combined capabilities of Dynamics 365 Voice of the Customer, Azure Cognitive Services, and Microsoft Flow.

The brand new Org Chart in Dynamics 365 lets you maintain external organization charts for your accounts. You can build a hierarchy for existing accounts or use it as a starting point for adding contacts to a new account.

The org chart leverages a hierarchical relationship between an accounts contacts (you will need to set the hierarchical relationship up) and the control lets you

see contact cards

collapse and expand branches

drag and drop contacts to new positions in the hierarchy

zoom in and out

The Org Chart is accessed from the commandbar of an Account - click Open Org Chart (1) to open the org chart.

You can click any contact and see the contact card

If you've set up LinkedIn Sales Navigator integration, you'll be able to see the the LinkedIn Sales Navigator info for the matched contact in the details panel too

You can easily collapse and expand branches

The contact has now moved to a new direct manager

For larger org charts you can zoom in and out (using the scroll wheel on your mouse) to get an overview of the depth and breadth of the org hierarchy

Creating New Org Charts

When you add a new account obviously there are no associated contacts for the account. When you click the Open Org Chart button, the org chart will open with the below placeholder. You can begin adding contacts and building the hierarchy by double clicking the plus (+) button (1) to open a task pane

In the task pane you can either search for an existing contact, or add a new one. Click the + New (1) to open up a quick create form, where you can enter the details of the new contact and save him/her

Click Save (1) to save/create the new contact

To add the new contact to the Org Chart click Add (1)

The new contact is now added to (and is the only contact in) the org chart. Double-click the contact to start adding direct reports (or a manager)

Lets just add two existing contacts as direct reports to the new contact

When done adding direct reports click Save (1) to add the contacts to the Org Chart

The chart will update to reflect the changes

For existing accounts with one or more contacts, but no established hierarchy, by default everyone will be on the same level. You can then start dragging contacts into their hierarchical positions as shown in the example above

With the new org chart it's easier than ever to maintain an overview of the organisation hierarchy in your accounts.

Dynamics 365 for Marketing is a rich app to support your marketing automation purposes. You can build customer journeys, segments, emails, landing pages, events and more. See these blog posts for more.

Dynamics 365 can also collect information about how your website(s) is used by its individual visitors. To enable the feature, Dynamics 365 generates JavaScript code that you must add to each page that you want to monitor (usually an admin would do this site-wide by using your CMS system) - read more here. The tracking capabilities combined with the rich segment building capabilites of Dynamics 365 for Marketing opens up for an useful automation scenario - building a dynamics segment of repeat web site visitors.

In this demo we'll set up tracking on a web site and build a segment to capture repeat visitors.

TO SET UP TRACKING

Copy the URL of the website your contacts visits to the clipboard

Navigate to Marketing -> Websites and create a new website record

Paste the URL for the clipboard into the URL field (1) and hit Save to generate the tracking script (2)

Copy the tracking script to the clipboard

Note the URL of the website record, especially the id to the right (3) - you'll need that when setting up the segment

Navigate to the admin interface of website your contacts visits (1)

Open the Header (2) of the Website

Paste the tracking script at the top of the Header (3)

TO BUILD THE SEGMENT

Navigate to Marketing -> Segments and create a new segment

On the DESIGNER tab select Contact (1) and then Link between WebsiteVisited interaction and contact (2)

Specify Conditions for Having count (1) and Sliding window (2), respectively how many visits and during what period. I'll use greater than zero for the first just for demo purposes (if the segment was to be a true repeat visitors segment obviously I'd use greater the one for Having count)

Select the WebsiteVisited field (1) and then the WebsiteId property (2)

Paste the website record ID from the above SET UP TRACKING bullet #1 into the value field (1) - see also: Find record IDs

Save, Check for Errors and Go Live with the segment - the segment is empty for now

TO TEST

Open another browser

Log into eg Mail as a user matching a contact in your Marketing

Open a new tab in the browser

Visit the website from above

Now navigate to Marketing -> Segments and verify new segment member is added as expected

For what its worth - you can also navigate to the contact and verify that the website visits is tracked for the contact

So now you've seen how you can track website visits and build segments based on those. You can have a dynamic segment sitting there just waiting for contacts to visit you website and then take automated action via Customer Journeys.

Playbooks

Dynamics 365 for Sales is introducing Playbooks, a new capability to help you automate repeatable sales activities and respond to external events.

In the age of the customer, buyers have the upper hand in the relationship with sellers. With nearly limitless access to information, they can dictate their own customer journeys, rather than follow a predefined business process. It is thus important to move from a reactive process-driven data repository on systems of record to proactive and predictive event-driven guidance engines that can suggest next best actions and surface relevant sales activities to successfully respond to external events.

Playbooks provide users with guidance on recurring tasks in which consistent actions are expected. Playbooks can also contain best practices based on practices that have worked in similar situations before.

If a decision maker and top champion of the product leaves the organization in the middle of a deal, this can become an event with the potential to jeopardize the entire commercial transaction.

With Playbooks, however, automation can trigger a play that creates a set of tasks and activities needed to remedy the situation. A task to reach out to current contacts at the customer account and identify the new stakeholder could be immediately followed by an introductory phone call to better understand the new stakeholder’s priorities. This carefully crafted orchestration of activities ensures that the new decision maker is successfully identified and turned into a new champion for the product so that the deal can be salvaged.

The new capabilities released allow organizations to:

Configure Playbooks against any Dynamics 365 entity

Define the set of tasks and activities to automate once triggered

Track the status progress of running Playbooks against their outcome, successful or not

Demo intro

We will create a playbook to handle a scenario in which an opportunity goes Cold. This can be automated, but in this example, I'll focus more on the manual scenario.

To get started we'll create a new Playbook category, and then a new Playbook template (related to the Opportunity entity). The playbook will create a phone call activity and an appoinment activity to in attempt to heat up the opportunity again. Having created the playbook, going forward we can launch the playbook from any opportunity record using a new Launch Playbook command in the commandbar

Demo steps

Navigate to App Settings (1) and then Playbook categories (2) to open the Active Playbook Categories grid

In the Active Playbook Categories grid click New (1) to open the New Playbook category form

In the New Playbook category form fill out the Name and (optional) Description fields (1) and then click Save & Close (2)

Navigate to Playbook templates (1)

In the All Playbook Templates grid click +New (1) to open the New Playbook template form

In the New Playbook template form fill out the fields

Category. Select the category for which you want to create the playbook template. Think of category as an event or an issue that you want to address using this template.

Name. Enter a descriptive name for the template.

Track progress. Select whether to track the progress of the playbook by creating the activities under a playbook, which is in turn linked to the record type the playbook applies to.
For example, if you have a template created for an opportunity, and you set Track Progress to Yes, all playbook activities are created under the playbook that is launched from the opportunity record in the following hierarchy: Opportunity record → playbook record → activities.
If you set this to No, the playbook activities are created directly under the opportunity record in the following hierarchy: Opportunity record → activities.

Estimated duration (days). Enter the estimated duration in days to indicate the time it may take to complete the playbook template once launched

Click Save (5) to create the Playbook template record

In the Playbook Template form you'll see a couple of sections to handle which entities to target with the playbook, and which activitites to create when the playbook is launched.

Select record types that this playbook applies to - in this section the Available for box lists all the entities that are enabled for using playbooks. Select and move the record types to which the current playbook template applies into the Applies to box.

Playbook activities - in this section, select Add Activity, and then select the activity you want to create.

We will select Opportunity (1) and then add a couple of activities (2)

When you click Add Activity in the Playbook Activities section, a drop down with activity types (task, phone call, appointment) is displayed.

Select eg Appointment, to open a task pane Quick create: Playbook appointment

In the Quick create: Playbook appointment task pane, fill out the below fields (1), and then select Save (2) to save the appointment activity:

Description. Type additional information to describe the playbook activity

Relative start date (days). Enter the number of days in which the activity must start. This date is relative to when the playbook is launched

Relative start time. Enter the time of day when the activity must start

Relative end date (days). Enter the number of days by which the activity must end. This date is relative to when the playbook is launched

Relative end time. Enter the time of day when the activity must end

Priority. Select the priority of the activity

The appointment activity is now listed in the Playbook activities section (1). Click Add Activity (2) and then Phone Call to create a phone call activity

In the Quick create: Playbook phone call task pane fill out the below fields (1), and then select Save (2) to save the phone call activity

Description. Type additional information to describe the playbook activity

Relative due date (days). Enter the number of days in which the activity will be due. The number of days is counted from the launch date of the playbook. This field is available only for task and phone call activities

Relative due time (hours). Enter the time when the activity will be due

Duration. If you’re creating a task or a phone call, select the duration for the task or phone call activity

Priority. Select the priority of the activity

The phone call activity is now listed in the Playbook activities section (1).

You must publish a playbook to make it available for your users. Click Publish (2) to publish the playbook

Once the Playbook is published we can open an opportunity and find a new Launch playbook command in the commandbar (1). Click the command button to display the Playbook templates dialog

In the Playbook templates dialog select the playbook you created (1) and click Launch to launch the playbook

To see the activities created navigate to the playbook template, click the Monitoring tab (2) and verify that a playbook list entry with two activitites is created (as expected) - note also that regarding column shows the name of the opportunity ("Social Engagement"). You can double click the playbook list entry (3) to navigate to the playbook record

On the playbook form you'll find sections for the playbook record, including the associated opportunity (1) and activities (2)

You can also navigate to the My Activities list and find the activities there.

I hope this example has inspired you to explore how Playbooks can help you successfully respond to external events. Enjoy.

Everybody loves Outlook. Most of our daily communication and planning takes place in Outlook. Some...

Everybody loves Outlook. Most of our daily communication and planning takes place in Outlook. Some argue that Outlook is the first thing you open when the day begins, and the last thing you close when the day ends.

Many of us also work with business relations (customers, prospects, contacts, accounts, etc) on a daily basis. Track the emails we receive/send to our business relations, create and update leads, opportunities, cases and so on.

It has always been very attactive to Microsoft users that you can work with Dynamics 365 (CRM) directly in Outlook. Afterall its where many spend most of the day. You dont have to switch apps to accomplish what you need to do. App switching is time consuming.

In many years this capability was handled by a COM Add-In - in the recent years our recommendation has been to leverage the zero footprint Dynamics 365 for Tablets and Phones app, now called the Dynamics 365 App for Outlook.

With the introduction of the new unified User Interface (UI) in Dynamics 365 (CRM) the user experience has become even better. The new UI is highly performing, responsive and very userfriendly.

The Dynamics 365 App for Outlook leverages the new UI. You can literally work with the best of Dynamics 365 (CRM) without leaving Outlook. The best of both worlds.

As an example I can click a mail I just received in Outlook, and then click the Dynamics 365 icon in the ribbon (1) to open the Dynamics 365 App for Outlook.

The Dynamics 365 App for Outlook opens in a task pane to the right (you can change the widht of this task pane, and the UI will adopt beautifully to the new width).

In this example I see the mail is tracked to an an opportunity "Social Engagement" (1), I see the contact information for the sender (2), the account information (3) - and much much more if I scroll down or click the records in the app. I can create, read, update, and delete records and activities right there in Outlook.

If I click the sitemap icon (4)....

... I'm presented with the Out-of-the-Box (OOB) sitemap for the app. I can navigate to see Dashboards (1). Thats it for the OOB sitemap.

Probably you will want more options for the sitemap as you start working with the app - eg the ability to easily navigate to the Accounts, Contacts, and Opportunities lists.

Luckily its pretty straight forward to edit the sitemap of any Dynamics 365 app with the new PowerApps app. In the rest of this blog post I'll show you how.

Open Dynamics 365 in a browser, click the Application Navigator in the upper left (1) and then click PowerApps (2)

In PowerApps click Apps (1), click the (...) menu in the Dynamics 365 App for Outlook (2) and then Edit (3) to open the App Designer

In the App Designer click the Edit icon (1) in the Site Map to open the Sitemap Designer

In the Sitemap Designer click Home (1), click Components (2), and then drag a Group (3) onto the canvas (4)

Name the Group, eg "Sales" and then drag three subareas (2) on to the canvas (3).

For each subarea specify Type=Entity and point out the desired entities (eg Accounts, Contacts, and Opportunities)

After I Save and Publish Customizations, I head back over to Outlook and open the Dynamics 365 App for Outlook again.

I now have the new group "Sales" in the sitemap (1). The app now suits my daily work tasks even better.

I can easily navigate to eg the My Active Accounts list (displayed in a grid)
