Sales agreements (form)

Click Sales and marketing > Common > Sales orders > Sales agreements.. To open an existing sales agreement, double-click the sales agreement. To create a new sales agreement, on the Action Pane, on the Sales agreement tab, click Sales agreement.

Use this form to create, modify, delete, and follow up on sales agreements. You can also use this form to create release orders for sales agreements.

View the sales agreements that are confirmed by the customer.

Release order lines

View all sales order lines that are released from the sales agreement. These sales order lines include information about the products that were sold.

Invoice lines

View all customer invoice lines for one or more sales orders that are released from the sales agreement.

Attachments

View documents that are already attached to a selected record, or attach documents to the selected record.

Description

Print management

Open the Print management setup form, where you can view, copy, or override the transaction's default settings for print management. You can also set up a new copy of print management. Changes affect only the selected transaction. For more information, see Set up print management for a transaction.

Sales agreement header

This tab is displayed only in the line view of the form.

Field

Description

Default commitment

Select the type of commitment that you and the customer agree on for the sales agreement. The commitment type indicates whether the customer agrees to buy a specific quantity of products or products for a specific amount.

If you change the default commitment type, and then create a new line, the line is defined by the commitment type that you selected. You can have multiple types of commitments on the sales agreement. Select one of the following values:

  • Product quantity commitment – The customer agrees to buy a specific quantity of products. The lines that use this commitment type are defined by an item number, and the quantity and unit that were agreed on. The Amount field is not available.

  • Product value commitment – The customer agrees to buy products for a specific amount. The lines that use this commitment type are defined by an item number and the amount that was agreed on. The Quantity and Unit fields are not available.

  • Product category value commitment – The customer agrees to buy for a specific amount and from a specific sales category. The lines that use this commitment type are defined by a sales category in the hierarchy of sales categories and an amount. The Quantity and Unit fields are not available.

  • Value commitment – The customer agrees to buy for a specific amount, and from a high-level sales category or the category's subordinate categories. The lines that use this commitment type are defined by the top level of sales categories in the hierarchy of sales categories and an amount. The Quantity and Unit fields are not available.

Currency

The currency code. By default, the currency code that is specified in the Customers form is used.

Note

You can change the currency code if the Price and discount is fixed check box is cleared and you have not yet used the agreement. You can find the Price and discount is fixed check box on the Line details FastTab in the Sales agreements form.

Effective date

The effective date of the sales agreement.

If the requested ship date on the sales order line is within the validity period of the sales agreement, the sales agreement can be used prior to the effective date. The validity period of the sales agreement is defined by the Effective date and Expiration date fields on the agreement.

Note

By default, when you create a new line, the value of the Effective date field is used as the effective date of the line. The effective date is not valid until it is used on a line. You can have different effective dates on different lines.

Expiration date

The last date that the sales agreement is valid.

Note

By default, when you create a new line, the value of the Expiration date field is used as the expiration date of the line. The expiration date is not valid until it is used on a line.

Status

The current status of the sales agreement. The following values are used:

  • On hold – The agreement is waiting to become valid, or the agreement has been closed and is no longer used.

  • Effective – The agreement is valid, and you can use it.

Sales agreement lines

This tab is displayed only in the line view of the form.

Button

Description

Add line

Add a new sales agreement line. A sales agreement line is also referred to as a commitment.

Note

The default commitment type that you select in the header of the sales agreement determines the type of line that is added.

Remove

Remove the selected sales agreement line.

Release order lines

View the sales order lines that are released from the selected sales agreement line. These sales order lines include information about the products that were sold.

Invoice lines

View the customer invoice lines for the sales order that is released from the selected sales agreement line.

Prices

View the current prices and discounts for the selected sales agreement line.

Export to Microsoft Excel

Export information from the form into Microsoft Excel.

Dimensions display

Select the inventory dimensions that you want to be displayed on the sales agreement line.

Attachments

View documents that are already attached to a selected record, or attach documents to the selected record.

Field

Description

Item number

The identifier of the item. When you select an item, the item details are transferred from the Released product details form to the sales agreement line.

Item/Category name

The name of the item or category.

Sales category

The sales category in the hierarchy of sales categories.

Configuration

The configuration of the item. The item configuration can only be specified on the sales agreement line if the dimension is enabled in the Product dimension groups form.

Note

The item configuration is used as a matching criterion when you create a release order from a sales order line that is linked to the sales agreement. If the field on the sales agreement line is blank, any value can be entered on the release order line.

Size

The size of the item. The item size can only be specified on the sales agreement line if the dimension is enabled in the Product dimension groups form.

The item size is used as a matching criterion when you create a release order from a sales order line that is linked to the sales agreement. If the field on the sales agreement line is blank, any value can be entered on the release order line.

Color

The color of the item. The item color can only be specified on the sales agreement line if the dimension is enabled in the Product dimension groups form.

Site

The site where the item is picked. The item site can only be specified on the sales agreement line if the dimension is enabled in the Product dimension groups form.

Warehouse

The warehouse that stores the item. The item warehouse can only be specified on the sales agreement line if the dimension is enabled in the Product dimension groups form.

Note

The item warehouse is used a matching criterion when you create a release order from a sales order line that is linked to the sales agreement. If the field on the sales agreement line is blank, any value can be entered on the release order line.

Quantity

The quantity of items in the sales unit. This quantity is committed for the sales agreement line.

Unit

The unit in which the item is sold. The unit of measurement cannot be changed after the sales agreement is used.

Amount

The line amount. The line amount is the total price of the order line.

Discount percent

The discount percent for the line. This discount percent is copied to the sales order line when you use the sales agreement.

Unit price

The sales price per price unit. The unit price is copied to the sales order line when you use the sales agreement. For more information, see About unit prices.

Expiration date

The last date that the sales agreement is valid.

This tab is displayed only in the line view of the form.

Description

General

Item/Category name

The name of the item or category.

Max is enforced

Select this check box if you want the specified quantity or amount to be the maximum quantity or amount that can be released from the sales agreement line. As a result, when you release a new sales order line, the quantity or amount cannot exceed the remaining quantity or amount on the sales agreement.

Mode of delivery

The method that must be used to deliver the new order.

Note

The mode of delivery must be entered in the Modes of delivery form. You cannot enter a new value in this field.

Sales group

The commission sales group that receives the calculated commission for sales orders that use the sales agreement.

Validity period for

The type of validity date on the sales order line. For example, the validity date may be the requested ship date. This date must be in the validity period of the sales agreement. Otherwise, the customer cannot use the sales agreement.

Note

This field is only available if the intercompany configuration key is selected.

Effective date

The effective date of the sales agreement line.

If the requested ship date on the sales order line is within the validity period of the sales agreement line, the sales agreement can be used prior to the effective date. The validity period of the sales agreement line is defined by the Effective date and Expiration date fields on the agreement line.

You can have different effective dates on different lines.

Expiration date

The last date that the sales agreement line is valid.

Minimum release amount

The minimum release amount that is agreed on for each order line that uses the sales agreement.

Note

You receive a warning if you try to release an amount that is less than the amount that is specified in the Minimum release amount field.

Maximum release amount

The maximum release amount that is agreed on for each order line that uses the sales agreement.

Note

You receive a warning if you try to release an amount that is more than the amount that is specified in the Maximum release amount field.

Origin

The source of the sales agreement. This field indicates whether the sales agreement is the original sales agreement, or whether it was generated from a purchase agreement in another legal entity.

Price and discount

Discount percent

The discount percent for the line.

Cash discount amount

The amount of the line discount per price unit.

Unit price

The sales price per price unit. For more information, see About unit prices.

Price unit

The number of units that the price is specified for.

Price and discount is fixed

Select this check box to make price information mandatory. If this check box is selected, and you change any price information on a linked sales order line, you receive a warning that the link has been removed. In addition, price information cannot be changed on the sales agreement if the sales agreement is linked to a sales order line or invoice journal.

Fulfillment

Remaining

The remaining quantity or amount that is available on the sales agreement.

Released

The quantity or amount of items that are released from the sales agreement, but that have not yet been invoiced or delivered.

Delivered

The quantity or amount of items that have been delivered, but that have not yet been invoiced.

Invoiced

The quantity or amount of items that have been invoiced.

Quantity

The product quantity that the customer commits to for the sales agreement line.

Note

This field is only available for lines that are of the default commitment type, Product quantity commitment.

Amount

The monetary amount that the customer commits to for the sales agreement line.

Note

This field is only available for lines that are of one of the following default commitment types:

  • Product value commitment

  • Product category value commitment

  • Value commitment

Project

Project ID

The identifier of the project.

Category

The category of the item. If you specify a project in the header of the sales agreement, this field is mandatory. You use the Projects form to specify the item categories that are available for the selected project. If you do not specify a project in the header of the sales agreement, the value in the Items form is used by default.

Activity number

The identifier that is used for the activity in the project that the sales agreement line is associated with.

Product dimensions

Configuration

The configuration of the item. The item configuration can only be specified on the sales agreement line if the dimension is enabled in the Product dimension groups form.

Note

The item configuration is used as a matching criterion when you create a release order from a sales order line that is linked to the sales agreement. If the field on the sales agreement line is blank, any value can be entered on the release order line.

Size

The size of the item. The item size can only be specified on the sales agreement line if the dimension is enabled in the Product dimension groups form.

Color

General

This tab is displayed only in the header view of the form.

Field

Description

Name

The name of the customer.

Customer account

The identifier of the customer.

Contact

The name of the customer contact.

Customer reference

The customer's reference. The customer uses this reference to track the sales agreement internally.

Customer requisition

The customer's requisition number.

Invoice account

The account number of the customer that you want to invoice. Use this field if the account number differs from the account number of the customer who placed the order.

Language

The language that is used for item names and to print external documents.

Currency

The currency code. By default, the currency code that is defined in the Customers form is used.

Note

You can change the currency code if the Price and discount is fixed check box is cleared and you have not yet used the agreement. You can find the Price and discount is fixed check box on the Line details FastTab in the Sales agreements form.

Fixed exchange rate

The fixed exchange rate that is used for the sales agreement. If this field is blank, the sales agreement uses the rate that is defined for the currency code.

Note

New sales orders that use the sales agreement also use this exchange rate.

Validity period for

The type of validity date on the sales order line. For example, the validity date may be the requested ship date. This date must be in the validity period of the sales agreement. Otherwise, the customer cannot use the sales agreement.

Note

This field is only available if the intercompany configuration key is selected.

Effective date

The effective date of the sales agreement.

If the requested ship date on the sales order line is within the validity period of the sales agreement, the sales agreement can be used prior to the effective date. The validity period of the sales agreement is defined by the Effective date and Expiration date fields on the agreement.

Sales agreement ID

The unique identifier of the sales agreement.

Document title

The title of the sales agreement. You can enter any title that you want. For example, you can use the title to describe, in plain text, the types of products that the agreement covers.

Note

The title is printed on the confirmation of the sales agreement. It also appears in the New sales order lookup form when you select the sales agreement that you want to use for a new sales order.

Preparer

The person who created the sales agreement.

External document reference

Either your reference or the customer's reference to an external document that is related to the current sales agreement.

Sales agreement classification

The type of sales agreement.

Note

You select the agreement type when you create a new sales agreement. Agreement types are defined in the Sales agreement classifications form in Sales and marketing.

Default commitment

Select the type of commitment that you and the customer agree on for the sales agreement. The commitment type indicates whether the customer agrees to buy a specific quantity of products or products for a specific amount.

If you change the default commitment type, and then create a new line, the line is defined by the commitment type that you selected. You can have multiple types of commitments on the sales agreement. Select one of the following values:

Intercompany origin

The source of the sales agreement. This field indicates whether the sales agreement is the original sales agreement, or whether it was generated from a purchase agreement in another legal entity, as part of an intercompany trade.

Project ID

The identifier of the project.

Delivery address

This tab is displayed only in the header view of the form.

Select a different address for the delivery address.

Add

Create a new delivery address.

Field

Description

Delivery name

Enter the name or company name that is used in the delivery address.

Delivery address

Select the delivery address for the products that were sold.

Address

View the formatted information for the selected address. This is the address that will appear on a printed document. The original address record may contain information that is not included in this view, depending on the specific country/region format.

Terms

All the terms and conditions that are defined on this tab are transferred to the sales order when you use the sales agreement for a new sales order.

This tab is displayed only in the header view of the form.

Field

Description

Terms of payment

The terms of payment that apply to the current sales agreement.

Note

The terms of payment must be set up in the Terms of payment form. You cannot enter a new value in this field.

Method of payment

The method of payment. The method of payment is copied from the customer setup information in the Customers form.

Note

The method of payment must be set up in the Methods of payment form. You cannot enter a new value in this field.

Payment specification

The way that you must handle payments that are made by using the current method of payment.

Payment schedule

The payment schedule that is used if the customer pays for orders in multiple installments.

Note

The payment schedule must be set up in the Payment schedules form. You cannot enter a new value in this field.

Cash discount

The cash discount that applies to orders that use the current sales agreement.

Note

The cash discount must be set up in the Cash discounts form. You cannot enter a new value in this field.

Discount percentage

The discount percentage for orders that use the current sales agreement.

Charges group

The group of charges that defines various expenses that are attached to the sales agreement. For more information, see About the charges group.

Campaign ID

The identifier of the campaign that the sales agreement is associated with, if the agreement is associated with a campaign.

Mode of delivery

The method that must be used to deliver the order.

Delivery terms

The terms of delivery for the current order, such as FOB (free on board) or CIF (cost, insurance, freight).

Terms of delivery specify terms that are related to the change of ownership and costs of delivery. The terms of delivery must be set up in the Terms of delivery form. You cannot enter a new value in this field.

Pool

The sales pool that release orders for the sales agreement are related to.

Sales unit

The sales unit that is responsible for sales orders that use the sales agreement.

Sales responsible

The sales representative who is responsible for sales orders that use the sales agreement.

Sales group

The sales group that receives the calculated commission from sales orders that use the sales agreement.

Commission customer group

The group of customers that forms the basis for the calculated commission that the sales representative receives.
