Sales quotation (form)

Click Sales and marketing > Common > Sales quotations > All quotations. To open an existing sales quotation, double-click the sales quotation in the list.

Use this form to create, modify, and inquire about sales quotations to customers and prospects.

Task that uses this form

Update a quotation

The following tables provide descriptions for the controls in this form.

Sales quotation actions

Action button

Description

Sales quotation

Create a new sales quotation.

Edit

Modify the details of the sales quotation. When you click this button, the sales quotation is switched from read-only mode to modify mode.

Delete

Delete the selected sales quotation.

Header view

View header and header-related information on FastTabs.

Line view

View the header and line information together. You can expand the lines and line details tabs to see more information about lines.

From all

Select the information from a previously created sales quotation that you want to copy to the selected sales quotation.

Totals

View the totals for the sales quotation. Totals include the volume, discounts, sales tax, and subtotal amounts.

Attachments

View and open the documents that are attached to the selected sales quotation. Attachments can include external documents and notes.

Action button

Description

Maintain charges

Create, modify, or view the charges for the selected sales quotation header.

Note

The total value of the charges is displayed in the Totals form and is also included when the invoice total is calculated.

Sales tax

View the sales tax that is calculated for the current sales quotation.

Multiline discount

Calculate the multiline discount for the sales quotation. Multiline discounts are applied to the sales quotation lines that qualify for multiline discounts, based on trade agreements.

Total discount

Calculate the total discount for the sales quotation. A total discount is applied to the sales quotation if it qualifies for a total discount, based on trade agreements.

Note

By clicking this button, any total discount percentages that have been manually applied in the header of the sales quotation are overridden.

Send quotation

Send the sales quotation to the customer and update the status to Sent. You can also print the sales quotation.

Note

The sales quotation cannot be edited after it is sent to a customer.

Price simulation

Create and run price simulations for the complete sales quotation.

Customer

View the record for the customer associated with the selected sales quotation.

Prospect

View the record for the prospective customer associated with the selected sales quotation.

Prices

View the prices and discounts that are associated with the selected sales quotation.

Quotation journal

View the sent quotations for the selected sales quotation.

Quotation confirmation journal

View the confirmations for the selected sales quotation.

Follow up actions

Confirm

Confirm the sales quotation and update the status to Confirmed.

Cancel

Cancel the sales quotation and update the status to Canceled.

Lost quotation

Update the status to Lost.

Convert to customer

Convert a prospect record to a customer account.

Note

If the quotation has been issued to a prospect who does not have a customer account, you must convert the prospect record to a customer account before the quotation can be confirmed.

Change reason code

Update the reason code for the selected sales quotation.

Transfer to project

Open a wizard that helps you link a sales quotation to a project and transfer the quotation to a project forecast.

General actions

Description

Print management

Open the Print management setup form, where you can view, copy, or override the print management default settings for the selected sales quotation. You can also set up a new copy of print management for the sales quotation.

Note

Changes to the print management settings affect only the selected sales quotation.

Trade agreement

View or maintain trade agreements, prices, and discounts.

Note

Most of the forms that you can open here are read-only subsets of trade agreement details. However, when you click Maintain trade agreements, you can create a new trade agreement journal or update existing trade agreements from a trade agreement journal.

Activities

Create, view, or modify an activity for the sales quotation.

Contact details

Create or update customer contacts for the sales quotation.

Supplementary sales items

Create and maintain related items that can be added to a sales quotation.

Sales orders

Open the sales order that has been created from the sales quotation.

Alternative quotations

Link the selected sales quotation to one or more alternative sales quotations.

Documents

View or modify the documents or notes that are attached to the selected sales quotation.

This tab is displayed only in the line view of the form.

Field

Description

Name

The name of the customer or prospect who will receive the sales quotation. The name is used in the delivery address.

Delivery address

The address where items on the sales quotation will be delivered.

For more information, see About alternative delivery addresses.

Address

View the formatted information for the selected address. This is the address that will appear on a printed document. The original address record may contain information that is not included in this view, depending on the specific country/region format.

Requested receipt date

The date when the customer would like to receive the order.

Requested ship date

The date when you must ship the order to meet the receipt date that the customer requested.

Customer requisition

The customer's requisition number.

Customer reference

The customer's reference.

Total discount %

Enter the total discount for the order, expressed as a rounded percentage.

Note

The number that is displayed in this field is rounded to two digits. However, the unrounded form of the number is stored and used in calculations. The rounded form is not used in calculations.

Sales quotation lines

This grid is displayed only in the line view of the form.

Description

Sales quotation line

Open a menu that contains the following items:

  • Lines – Enter information about the items on the lines of the selected sales quotation.

  • Delivery schedule – Create or modify a delivery schedule that is associated with the sales quotation line.

  • From all – Copy lines from an existing quotation or a quotation journal.

  • Maintain charges – Create, modify, or view the charges for the selected sales quotation line.

  • Supplementary items – View and calculate the charges for supplementary items.

  • Prices – Create and run a price simulation for the selected sales quotation line.

  • Attachments –Open the documents that are attached to the selected sales quotation.

  • Dimensions – Select the inventory dimensions to display on the sales quotation line.

Inventory

Open a menu that contains the following items:

  • On-hand – – View information about the on-hand quantity for the item on the quotation line.

  • Lot – View information about the lot that is associated with the item on the quotation line.

  • Transactions – View the inventory transactions that are associated with the item on the quotation line.

  • Dimensions – Select the inventory dimensions to display on the quotation line.

Product and supply

Open a menu that contains the following items:

  • Configure line – Open the Configure line form to configure the item on the quotation line.

  • Configured item – Generate a report that contains details about the item configuration of the item on the quotation line.

  • ATP information – Calculate the available-to-promise (ATP) quantity for an item. The ATP quantity is the quantity of an item that is available to be promised to a customer on a specific date.

  • Net requirements – Open the Net requirements, schedule %1 form, where you can run master scheduling to calculate the net requirements for the item on the quotation line.

Update line

Open a menu that contains the following items:

  • Based on BOM or formula – Calculate an order-specific bill of materials (BOM) for the item on the quotation line.

Field

Description

Type

The delivery type for the selected order line. The order line can have one delivery or multiple deliveries. The types of order lines are indicated by various icons.

Item number

The unique identifier of the item.

Product name

The item description, which comes from the Released product details form.

Sales category

The category in the hierarchy of sales categories that is associated with the item.

Quantity

The quantity of items that is included in the selected sales quotation, expressed in the sales unit.

Unit

The unit type that the item is sold in.

Configuration

The specific attributes of the item.

Site

The site that the item is shipped from.

Warehouse

The warehouse that dispatches the item.

Batch number

The batch number of the item.

Serial number

The serial number of the item.

Unit price

The proposed sales price of the item. This price is copied from the trade agreements that are associated with the sales quotation.

If you enter the net amount manually, the Unit price field is blank. As a result, the default unit price on the corresponding invoice is also blank.

Discount

The amount of the line discount per price unit.

Discount percent

The calculated line discount, expressed as a percentage per price unit.

Net amount

The net amount of the quotation line.

If you enter the net amount manually, the Unit price field is blank. As a result, the default unit price on the corresponding invoice is also blank.

Line details

This tab is displayed only in the line view of the form.

Description

General

Sales category

The category in the hierarchy of sales categories that is associated with the item.

Item number

The unique identifier of the item.

Text

The description of the item or service on the line. This description is used in reports and in queries.

Note

If the quotation line does not contain an item number to uniquely identify the item, you can enter a description in this field to identify the item. If the item number on the quotation line is uniquely identified, this description adds more information about the item.

External

The customer's item number for the item.

Setup

Sales tax group

The customer's tax group.

When you create the sales quotation, this value is copied from the Sales tax group field in the Customers form. For more information about how to create tax groups, see Sales tax groups (form).

Item sales tax group

The tax group for the item.

This value is copied from the base data for the item to the quotation line. For more information about how to set up item tax groups, see Item sales tax groups (form).

Sales group

The sales group for the quotation line. You can use sales groups to group several sales representatives. You can then allocate sales commissions based on groups.

Main account

The ledger account that is used when you post lines to a specific sales account.

Created date and time

The date and time when the quotation line was created.

Lot ID

The issue lot for the item.

Quantity

The quantity of items included in the selected sales quotation, expressed in the sales unit.

Address

Delivery name

The name or company name that is used in the delivery address.

Delivery address

The address where items on the sales quotation will be delivered.

Address

View the formatted information for the selected address. This is the address that will appear on a printed document. The original address record may contain information that is not included in this view, depending on the specific country/region format.

Product

Configuration

The specific attributes of the item.

Batch number

The batch number of the item.

Serial number

The serial number of the item.

Site

The site that the item is shipped from.

Warehouse

The warehouse that dispatches the item.

Location

The location of the item in the warehouse.

Pallet ID

The unique identifier of the pallet. This identifier is also named the Serial Shipping Container Code (SSCC).

Product model number

The identifier of the item model.

Reference type

The type of reference identifier.

Reference number

The number of the sales order, project ID, production lot, or other identifier related to this sales quotation.

Reference lot

The lot identifier of the items related to this sales quotation.

Sub-BOM

The bill of materials number for a specific sub-bill of materials.

Subroute

The route number for a specific subroute. If this field is blank, the active number is used.

Packing

Bar code

The bar code number for the item.

Bar code setup

The type of bar code that the item has.

Packing unit quantity

The quantity of the packing unit.

The packing unit quantity is used to calculate packaging material weights, packaging material fees, or both.

Packing unit

The unit that the item is packed in, such as box or pieces.

Packing units are used to calculate packaging material weights, packaging material fees, or both. If a packing unit has been defined for the selected item, the packing unit is loaded automatically.

Case tagging

A selected check box indicates that cases must be tagged.

Item tagging

A selected check box indicates that items must be tagged.

Pallet tagging

A selected check box indicates that pallets must be tagged.

Delivery

Requested receipt date

The date when the customer would like to receive the order.

Requested ship date

The date when you must ship the order to meet the receipt date that the customer requested.

Delivery date control

Select the method that is used to calculate the possible ship dates and receipt dates.

Time zone

The time zone of the shipping location.

Overdelivery

Enter the accepted overdelivery as a percentage. If overdelivery is allowed, the quantity of items that is delivered can be larger than the quantity that was ordered.

Underdelivery

Enter the accepted underdelivery as a percentage. If underdelivery is allowed, the quantity of items that is delivered can be smaller than the quantity that was ordered. If underdelivered orders should be marked as fully delivered, you can select the Accept underdelivery check box on the Updates tab in the Accounts receivable parameters form.

Mode of delivery

Specify how the order must be delivered, such as by truck or air.

Price and discount

Discount

The amount of the line discount per price unit.

Discount percent

The calculated line discount, expressed as a percentage per price unit.

Multiline discount

The multiline discount per price unit.

Multiline discount percentage

The calculated multiline discount, expressed as a percentage per price unit.

Sales charges

The fixed charges on the sales price. Sales charges are independent of quantity.

Price unit

The quantity of the item that is covered by the sales price.

Foreign trade

Port

Select the port where the delivery is loaded. This field is used for Intrastat reporting.

Statistics procedure

Select the code for the statistical procedure. This field is used for Intrastat reporting.

For more information, see Intrastat (form).

Triangular deal

Select the check box to indicate that this order is a triangular deal.

Transaction code

Select the terms of trade for the selected quotation line. This field is used for Intrastat reporting.

Transport

Specify the mode of transport. This field is used for Intrastat reporting.

For more information, see Intrastat (form).

Commodity

The commodity code of the item. For transaction lines that are identified by a product, the information in this field comes from the item record and is not editable. For transaction lines that are identified by a description, you can enter a commodity code.

Country/region of origin

The unique identifier of the county or region where the item was manufactured. For transaction lines that are identified by a product, the information in this field comes from the item record and is not editable. For transaction lines that are identified by a description, you can enter a country or region.

State of origin

The unique identifier of the state where the selected item originates. For transaction lines that are identified by a product, the information in this field comes from the item record and is not editable. For transaction lines that are identified by a description, you can enter a state.

Unit weight

The unit weight of the selected item. For transaction lines that are identified by a product, the information in this field comes from the item record and is not editable. For transaction lines that are identified by a description, you can enter the unit weight.

Financial dimensions

Default financial dimensions

The default financial dimensions for the main account. When you select a financial dimension value, the Where the %1 dimension is used field group displays where the dimension is used in account structures and advanced rule structures.

Where the %1 dimension is used

The account structures and advanced rule structures that use the financial dimensions that you selected in the Financial dimensions or Default financial dimensions field group.

Note

The name of the field depends on the selection in the Financial dimensions or Default financial dimensions field group.

General

This tab is displayed only in the header view of the form.

Field

Description

Quotation

The unique identifier of the sales quotation.

Name

The name of the customer or prospect who will receive the sales quotation. The name is used in the delivery address.

Prospect

The account number of the prospective customer.

Type ID

The prospect type from the Prospects form.

Customer account

The identifier of the customer.

Invoice account

The account number of the customer whom you want to invoice. Use this field if the account number differs from the customer account number of the customer who places the order.

Contact

The name of the customer's contact person.

Quotation status

The status of the selected quotation.

Quotation type

The type of quotation. Quotation types can be sales, various project types, service quotations, or quotation templates.

Type

Select the category of quotation. The categories are set up and maintained in the Type form.

Expiration date

The date when the sales quotation expires and is no longer valid.

Follow-up date

The start date of any sales quotation follow-up activity.

Document status

The description of the current document type.

Site

Select the shipping site. If you set up a default site for the customer, the value is copied to the header of the sales quotation when you create a new sales quotation for the customer.

Warehouse

The warehouse that dispatches the item.

Customer requisition

The customer's requisition number.

Customer reference

The customer's reference. The customer uses this reference to track the sales order internally.

Sales order

The sales order number of the confirmed sales quotation. A sales order number is displayed only if the sales quotation has been converted to a sales order.

Campaign ID

The identifier of the campaign that the sales quotation is associated with, if any.

Call list ID

The call list name that is used for telemarketing.

Opportunity ID

The identifier of the opportunity, if the selected sales quotation is created for an opportunity.

Setup

This tab is displayed only in the header view of the form.

Field

Description

Sales tax group

Enter the customer's tax group.

Tax exempt number

Enter the customer's tax exempt number, if the items on the sales quotation are tax exempt.

If it is specified, the tax exempt number for the customer invoice account is retrieved from the Customers form, but you can change it or manually enter the tax exempt number.

If a project is associated with the sales order, the tax exempt number cannot be changed.

Note

The tax exempt number is only relevant for existing customers, not for prospects.

Prices include sales tax

Select the check box to indicate that sales tax is included in the sales prices for order lines.

Active

Select the check box to indicate that the quotation template is active. A quotation template must be active in order to be used.

Group ID

Select the quotation template group identifier, which is the main categorization of a quotation template.

Template name

The unique name for the quotation template. This identifies the quotation template so that you can select it when you create new quotations based on a template.

Sales taker

The sales representative who will receive the sales order when the sales quotation is confirmed.

Language

The language that is used for item names and to print external documents.

Note

All printed text, such as items and terms of payment, must be manually translated into the specified language.

Sales unit

The sales team that is responsible for a common sales target.

Sales responsible

The sales representative who will be responsible for the sales order.

Sales origin

The default code for the origin of the sale. The code is copied from the Accounts receivable parameters form. You can change the code at any time. However, a message is displayed if you try to change the code after the sales order is fully invoiced.

Created date and time

The date and time when the sales quotation was created.

Address

This tab is displayed only in the header view of the form.

The name of the customer or prospect who will receive the sales quotation. The name is used in the delivery address.

The address where items on the sales quotation will be delivered.

The time zone of the shipping location.

Mode of delivery

Specify how the order must be delivered, such as by truck or air.

Delivery terms

The terms of delivery for the sales order, such as free on board (FOB) or cost, insurance, freight (CIF).

Terms of delivery specify terms that are related to the change of ownership and costs of delivery. The terms of delivery must be set up in the Terms of delivery form.

Delivery reason

Select the purpose of the sales quotation. For example, the quotation may be a sale or a sample.

Note

The delivery reason must be set up in the Reasons for delivery form.

Reason for export

Enter the reason for the delivery. For example, the delivery may be a gift or a sample.

Price and discount

This tab is displayed only in the header view of the form.

Field

Description

Currency

The currency code that is used for the amounts and prices of the sales quotation.

Cash discount

The cash discount for the quotation.

The terms set up for the specified cash discount in the Cash discounts form are used to calculate the discount date and the discount total that is granted when you invoice the order.

If a cash discount is specified for the customer in the Cash discount field in the Customers form, it is automatically transferred to the order.

Payment

Select the payment code that is generated by using the Terms of payment form.

Total discount %

Enter the total discount for the order, expressed as a rounded percentage.

Note

The number that is displayed in this field is rounded to two digits. However, the unrounded form of the number is stored and used in calculations. The rounded form is not used in calculations.

Total discount group

If a total discount group is selected on the customer account, the group name is transferred to this field. The discount is automatically deducted from the quoted price.

Line discount group

If there is a line discount group selected on the customer account, the group name is transferred to this field. The discount is deducted from the quoted price.

Charges group

Select the charges group to associate with the selected sales quotation. A charges group specifies various costs that are associated with an order. If there is a charges group set up for the customer account, it is transferred to the quotation when you create it. If there is no charges group set up for the customer account, you can select one here.

Multiline disc. group

The multiline discount group that the customer is associated with, if any. When you create a sales quotation, this group is copied to the sales quotation and the discount is deducted from the quoted price.

Price group

Select the customer price group for the selected sales quotation.

Packing

This tab is displayed only in the header view of the form.

Field

Description

Case tagging

Select the check box to indicate that cases must be tagged.

Item tagging

Select the check box to indicate that items must be tagged.

Pallet tagging

Select the check box to indicate that pallets must be tagged.

Posting

This tab is displayed only in the header view of the form.

Reason

End the status of a quotation and select the reason that the sales quotation was accepted or was not accepted.

Confirmation date

The transaction date.

Document title

Enter the title of the quotation that is to be included in the quotation documents.

Document introduction

The introduction to include in quotation documents.

Document conclusion

The conclusion to include in quotation documents.

Foreign trade

This tab is displayed only in the header view of the form.

Field

Description

Transaction code

Select the terms of trade for the selected sales quotation. This field is used for Intrastat reporting.

Transport

Select the mode of transport. This field is used for Intrastat reporting.

For more information, see Intrastat (form).

Port

Select the port where the delivery is loaded. This field is used for Intrastat reporting.

Statistics procedure

Select the code for the current statistical procedure.

List code

This field is used for reporting information that is displayed on the EU sales list.

The following values are used:

  • Not included – There is no list code on the invoice.

  • EU trade – Trade with a customer in another EU country.

  • Production on toll – Value-added work with a customer in another EU country.

  • Triangular/EU trade – Trade between customers in different EU countries.

  • Triangular/Prod. on toll – Value-added work between customers in different EU countries.

Financial dimensions

This tab is displayed only in the header view of the form.

Field

Description

Default financial dimensions

The default financial dimensions for the main account. When you select a financial dimension value, the Where the %1 dimension is used field group displays where the dimension is used in account structures and advanced rule structures.

Where the %1 dimension is used

The account structures and advanced rule structures that use the financial dimensions that you selected in the Financial dimensions or Default financial dimensions field group.

Note

The name of the field depends on the selection in the Financial dimensions or Default financial dimensions field group.
