Vendor requests (list page)

Click Procurement and sourcing > Common > Vendor requests > Vendor requests.

Use this form to review and respond to vendor-related requests.

  • Employee requests include:

    • New vendor requests – Submitted by an employee who requests that a supplier that is not currently a vendor for any legal entity in the organization be approved as a vendor for the employee’s legal entity.

    • Vendor category request – Submitted by an employee who requests that a vendor for the employee’s legal entity be allowed to do business in additional procurement categories.

    • Vendor extension request – Submitted by an employee who requests that the vendor that is currently a vendor in a different legal entity be allowed to do business in the employee’s legal entity.

    • Vendor status change request – Submitted by an employee who requests a change to a vendor’s hold status.

  • Vendor requests include:

    • Vendor add application – Submitted by a prospective vendor that provides company information, contact information, and procurement categories in which the vendor would like to do business, and bank information for payment purposes. This information is submitted after an employee-submitted vendor request is approved and the vendor is invited to complete the extension process.

    • Vendor extension application – Submitted by a current vendor that provides updated vendor company information, contact information procurement categories, and bank information. This information is submitted after an employee-submitted vendor extension request is approved and the vendor is invited to complete the extension process.

    • Vendor category application – Submitted by a vendor that requests to be allowed to do business in additional procurement categories.

    • Vendor category confirmation – Submitted by a current vendor that provides updated vendor company information, contact information procurement categories, and bank information. This information is submitted after an employee-submitted vendor category request is approved and the vendor is invited to complete the extension process.

  • Unsolicited requests submitted by suppliers in the marketplace that would like to be considered as a possible vendor for your organization.

Approve or reject vendor requests, add recently approved prospective vendors to additional legal entities, or export vendor request data to Microsoft Excel.

Create or update global addresses or change the vendor name for the vendor associated with the selected vendor request.

Add vendor to another legal entity

After a new vendor request has been approved, you can select additional legal entities that you would like this vendor to do business in.

Profile

Makes additional fields in the form editable so that you can enter or modify the vendor profile information.

This button is available only if the No online capabilities check box is selected. Because the requested vendor has no online capabilities and cannot update their profile in the vendor self-service portal, updates to the prospective vendor’s profile must be made in this form.

Address book

Create or update addresses for the vendor or prospective vendor in the address book.

Change the name of the vendor

Modify the name of the vendor in the selected vendor request.

Description

Vendor name

The name of the vendor or prospective vendor identified in the request.

Requester

The employee who submitted the request.

Status

The workflow status of the vendor request.

No online capabilities

This check box is selected if the vendor has no online connectivity and, therefore, no ability to update their profile using the vendor self-service portal.

Documents

This check box is selected if documents are attached to the vendor request. This is common when employees must justify their vendor requests with ancillary documentation that supports their need for additional vendor resources.
