Note
This feature is only available for Dragon Copilot (physicians).
Workflows are structured sequences of actions that users can execute in an automated fashion to support clinical documentation and task management. They typically span multiple steps and modalities (such as desktop, web, mobile, and embedded environments) and are designed to streamline user interactions by orchestrating predefined operations.
Dragon Copilot desktop users can access workflows. This feature isn't available for the mobile or web apps, and isn't available for Dragon Copilot embedded in EHR apps.
Prerequisites
You must be a User administrator, Dragon administrator, or Global administrator in your Microsoft 365 organization.
You created an environment and provisioned Dragon Copilot (physicians).
For more information on setting up your organization in Dragon admin center, see: Get started with Dragon admin center.
Add a workflow
To define a workflow and add it to an organizational unit, complete the following steps:
In the Environment configuration section of the navigation pane, select Library.
Open the Workflows tab.
By default, you see workflows that are added to the root organizational unit in your environment. To select a different unit, select Change view:
Select Add.
Enter the new workflow's name, spoken form, language, description, and steps. For an explanation of these terms, see the table below.
Select Save. Users who are assigned to the organizational unit or one of its child units see the new workflow listed in the Dragon Copilot library.
Information you enter when you add or edit a workflow
| Property | Required | Description |
|---|---|---|
| Name | Yes | The name identifies the workflow in lists of library items in Dragon admin center and in users' libraries in Dragon Copilot. Enter a name that's unique, unambiguous, and easy for your users to remember. |
| Spoken form | Yes | Dragon Copilot listens for this when users are dictating. When the user says a workflow's spoken form, Dragon Copilot executes the workflow steps in the order you defined. The name and the spoken form are usually the same; however, if the name doesn't have an intuitive pronunciation, enter a spoken form that represents phonetically what users say to trigger the workflow. |
| Language | Yes | The language of the workflow. If the user is recording in a different language, saying the spoken form doesn't trigger the workflow. |
| Description | No | A concise description of what the workflow does. This description is visible to users in the Dragon Copilot library and should help them understand when to trigger the workflow and the expected result. |
| Steps | Yes | The individual actions that Dragon Copilot performs when it recognizes the workflow's spoken form. See Workflow steps. |
Workflow steps
Your workflow can include the following actions:
| Step name | Description |
|---|---|
| Open file | Open a file (for example, an app executable) at the specified path. |
| Wait | Do nothing for the specified period, in milliseconds. |
| Wait for a window to open | Do nothing until a window with the specified title opens. |
| Enter text (non-library) | Write the specified text. This text is a specific string of text, not the name of a text from the library. |
| Press a sequence of keys | Define a sequence of key presses to execute. |
| Keyboard shortcut | Press a key combination. For more information on supported key combinations, see Press keys shortcuts for Dragon Copilot workflows |
| Run workflow | Select another workflow to run within this one. You can only choose from workflows that are available at the same level of the organization hierarchy. If the referenced workflow is deleted, the current workflow is still available to users but stops running at the step where it tries to run the deleted workflow. |
| Dictation mic | Start or stop the dictation microphone. |
| Run voice command | Execute a voice command from the following list: Anchor dictation Copy that Cut that Maximize window Minimize window Open Dragon Paste that Press enter Press space Press tab Release dictation Show anchored app Transfer all |
| Run prompt | Execute a configured custom prompt to produce generated text output. This step is responsible for generating content only. It doesn't insert, transfer, or place generated content into a target destination. |
| Run template | Execute a configured custom template or document to produce generated template output. This step is responsible for generating content only. It doesn't insert, transfer, or place generated content into a target destination. |
| Transfer | Move content from the Dragon Copilot Memos, Orders, Templates (for example, notes, documents), or Prompts to the current text cursor position in your EHR. If you select Templates and then Note as the template type, Dragon admin center prompts you to select specific note sections to transfer, such as History of Present Illness or Assessment and Plan. You can also specify whether you want to transfer headings. Ensure that Dragon Copilot can enter text into supported fields in your EHR and that you can use keyboard shortcuts to move the cursor to the intended fields. As the Transfer step inserts the source content at the current text cursor position, use this step together with navigation steps to move the cursor to the intended EHR field, and then transfer the content. Navigation steps can be Enter text, Keyboard shortcut, Wait, or Press a sequence of keys, depending on the EHR you use and how it's configured. If AI generation is enabled when attempting to transfer a template or memo with no AI generated output yet, the output is generated before the transfer is executed. For more information, see Use transfers in workflows in Dragon Copilot (physicians). |
Best practices for the spoken form
Make sure you specify a spoken form that's unique, unambiguous, and easy for your users to remember and pronounce.
The name and the spoken form should usually be the same. The exception to this rule is when the name is pronounced very differently from how it's spelled. This difference can happen with proper nouns, abbreviations, or words from other languages. If you find the system struggles to recognize a library item, consider entering a phonetic spoken form to improve recognition.
When you enter the spoken form, follow these guidelines:
Use alphabetic characters and single spaces only. Don't use:
Digits (for example, use 'twelve' instead of '12') unless they're part of common words (for example, use '3D' instead of 'three D').
Punctuation marks (for example, ., ", !, or ?).
Symbols (for example, +, &, or $) except for hyphens used in compound words (for example, 'C-spine').
Double spaces.
Follow standard capitalization rules (for example, use capital letters for proper nouns).
Avoid using capital letters (except for acronyms or if the standard capitalization rules require them, see above).
For acronyms that are spelled out, use capital letters (for example, CIA); if they're not recognized, separate the capital letters by spaces (for example, C I A).
For acronyms that are pronounced as words, use lowercase (for example, use 'pet CT' for 'PETCT' or 'pick' for 'PICC').
Don't use very short spoken forms that are acoustically difficult to capture (such as one syllable only). Very short spoken forms can lead to false positives.
Use full words instead of abbreviations (for example, use 'without' instead of 'wo').
Check for typos.
