Services Hub Registration and Roles

Services Hub Roles and Permissions

There are specific user roles within the Services Hub: Services Admin, Support Contact, and General User. Your Services Admin will designate user permissions as part of your organization’s onboarding process.

To learn about these roles and permissions, review the Quick Start Guides on the Getting Started tab of this site (https://aka.ms/sh-gettingstarted).

Depending upon your organization’s needs, your Services Admin may grant additional roles such as Global Admin and Workspace Admin and set specific permissions for General Users. View the Roles & Permissions Quick Start Guide for more information.

Invitations to the Services Hub

Users receive email invitations when they have been configured by the Microsoft representatives to receive them when the Premier or Unified Support agreement is set up.

Each invitation will contain a unique registration link which can only be used once to link one user account with one workspace.

The Administrator users and certain other users with the correct roles within Services Hub will be able to invite other users to the workspace.

Adding users via Microsoft Entra ID

The Services Hub is "Microsoft Entra ID aware" so if a customer has an Microsoft Entra tenant they can simplify the invitation and logon experience to Services Hub. This is accomplished simply by having a currently registered Microsoft Entra user invite other Microsoft Entra ID users from the same tenant. Services Hub recognizes this and adjusts the invitation email and process. This also improves the logon experience as the identity is recognizable as an Microsoft Entra ID identity.

Customer user that is part of the Microsoft Entra ID tenant adds a new user to Services Hub from the same Microsoft Entra ID tenant

The customer user who added the new user will see on the Manage users page that the status of the newly added user will say “Added via Microsoft Entra ID.” Any user who was “Added via Microsoft Entra ID” who then logs in will have the status of “Registered.” “Added via Microsoft Entra ID” is part of the filter.

Newly added customers will get an email stating they have been added and can use the link in the email or can go straight to serviceshub.microsoft.com for their first run experience.

Customer user that is part of the Microsoft Entra tenant adds a user to Services Hub from the same Microsoft Entra tenant that has already been invited, but has not registered

The customer user who adds a user that has been invited, but not registered, will see on the Manage users page that the status of the newly added user will now say “Added via Microsoft Entra ID” instead of “Invite Sent (Resend).”

Now this customer user can go straight to serviceshub.microsoft.com for their first run experience without having to look for the unique URL in the registration email.

Understanding the accounts that Services Hub recognizes

Services Hub can authenticate against the following two account types.

Work or School accounts

Work or School accounts are based on either an Microsoft Entra ID tenant or an Office 365 tenant. Generally, these accounts will be synchronized to use the same password as you use to sign into your corporate network.

For SSO to authenticate against these accounts, your organization must set them up to synchronize out to the Federated Services. There are some scenarios where organizations choose to make this synchronization a manual process for security reasons. In those cases, you will need to work with your company's IT department.

Personal accounts

Personal accounts (formerly called Microsoft Accounts or Live ID accounts) are managed by individual users. These accounts are usually associated with an email address as an identifier.

There are currently some restrictions on which email address can be used to create new Personal accounts or that can be linked as the account associated with your already existing Personal account (refer to Sign In or Registering to Services Hub).

If you do not have a Work or School account and need to use Personal Accounts to login to Services Hub please contact your Account Manager to approve an exception for your Services Hub Workspace.
