Accidents and emergencies can happen, so it’s important to have a plan in place. Ensure all sponsors and chaperones are familiar with basic emergency procedures, such as knowing the nearest hospital, identifying evacuation routes, and understanding how to contact local authorities.

Make sure you have contact information for parents and guardians at all times, and double-check that this information is current. It’s a good idea to ask for allergy or medical alerts at the start of each program year or event and prepare accordingly.

Public event safety

When attending conferences or public events, take additional steps to protect student ambassadors in crowded, unfamiliar environments. Ensure the event venue is secure, and clearly communicate boundaries for where students are allowed to go during the event. Assign specific sponsors or chaperones to small groups of students so each adult knows who they're responsible for.

Students should be reminded of event rules, such as staying with the group, not engaging with strangers, and always informing an adult if they need assistance. Establish a clear meeting point in case anyone becomes separated from the group. Additionally, equip students with emergency contact cards that list important phone numbers and instructions on what to do if they get lost.

Many MSA events involve taking photos or videos to document the experience. Before taking any pictures, ensure you collect a photo release form from every parent and guardian, granting permission to photograph or record their child. This allows you to share event highlights while respecting privacy. Without a photo release, avoid taking or sharing photos of students.

Clear communication with students

At the start of each event, review the schedule, safety rules, and expectations with students. Make sure they understand how to stay safe, how to behave in a public setting, and what to do if they need help. Reinforcing these guidelines helps create a safe and secure environment where students feel comfortable and confident.
