Thorough preparation is key
Planning ahead is essential for smooth and safe events. Begin by thoroughly reviewing the event's logistics, including the venue, transportation, supervision, and student needs. Communicate with parents and guardians ahead of time to set expectations and provide clear instructions for the event.
To streamline attendance, create digital sign-in and sign-out sheets using tools like Microsoft Forms. Link these to a QR code so parents and guardians can quickly check their students in or out using their mobile devices. Always keep a record of who is on-site, and ensure only authorized adults can sign students in or out.
Parent/guardian involvement and chaperones
Decide if parents and guardians need to stay at the event, and inform them in advance. Depending on the nature of the event, you may require additional adult supervision in the form of chaperones. Chaperones help maintain appropriate student-to-adult ratios, which is especially important if younger ambassadors are participating.
