Managing Printer Settings using the Universal Print portal
Printers have several configurable properties, each of which are described in detail below. Select a printer from the Printers list and click Printer properties
to view and configure these settings. To configure these settings by using PowerShell, see the Universal Print PowerShell module documentation.
Note
Printers need to be shared before they can be found by users. To control who can use this printer, configure permissions on the associated printer share. See Sharing Printers using the Universal Print portal for instructions.
Basic metadata
Basic metadata distinguishes one printer device from another and provides a brief summary of its state. This information is provided by the printer device and the Universal Print service, and cannot be changed.

Printer Id | GUID | ID assigned by Azure Active Directory when the printer is registered. |
Registered by | String | UPN of the user who registered the printer. |
Registration Time | Timestamp | Timestamp of when the printer was registered. |
Printer Status | String | Current printer state. |
Printer Status Reasons | String | Additional printer state details, if available. |
Printer Is Accepting Jobs | Boolean | Specifies whether the printer is accepting new print jobs. |
Active Jobs | Integer | Number of active jobs. |
Printer Share Name | String | Admin specified value when sharing the printer. This is the printer name that the end-user sees on their client device. |
Share Id | GUID | ID assigned by Universal Print when the printer is shared. |
Printer Share Time | Timestamp | Timestamp of when the printer was shared. |
Printer Share Status | String | Describes current shared state. |
Default settings
The default settings configured for a printer will be automatically applied to new print jobs unless overridden by a user. Available settings for these fields are controlled by the printer device based on its supported features.

To reset these values to the manufacturer's factory settings, click Apply Factory Defaults

Color configuration | Specifies whether the print job defaults to color or black and white. |
Duplex configuration | Specifies whether the print job defaults to print on one side or on both sides of the paper. |
Orientation | Specifies whether the print job should default to Portrait or Landscape mode. |
Size | The default paper size to print on. |
Media type | The default paper type to print on. For example: plain paper or transparency. |
Media Color | The default paper color to print on. |
Pages per impression | Specifies the default number of pages to print on each side of paper. |
Fit to page | Specifies whether the content should default to shrink to fit page size. |
Print quality | The default quality to render the print job. |
Output bin | The default output paper tray to use. |
Document MIME type | Default PDL to render the print job in. |
Finishings | Specifies default finishings, such as whether the print job should be stapled or hole punched. |

Location and company information
To help users find nearby printers, configure location information. Organization within a company's hierarchy can also be used to organize printers based on business needs.
Geographical location
Users on Windows devices will automatically discover printers that are closest to their current location.
