List Style formatting issues

Recently everyone in my office is having an issue with Word stripping out all formatting of documents. We create documents with Table of Contents with a proprietary style of paragraph numbering. Initially, the document is fine, for example:

Article One: XXXX

A.1. Names.

   A.1.a.  Children.

After the document is saved, the formatting gets stripped and the document appears as follows:

Article One: XXXX [this level is fine]

Names.

Children.

Has this happened to anyone else? Anyone have any ideas of WHY this is happening and what can be done (if anything) to keep it from happening?

    Hi,

    We are having the exact same problem as well. All the numbering disappear when opening Word on the desktop app. Opening the files using the web is fine, all the numbering shows up. So far, we've found a fix is to go into View and changing document access mode to Reviewing and all the numbering would show up again. Not sure if an Office update caused this or not but hopefully Microsoft will fix it so that we don't have to do this for every document with the numbering.

    @Hiep Nguyen, are you tracking changes in the affected document? In that case, you may not see the correct numbering until you have accepted all changes and turned off the tracking. Also, for stability, you should set up multilevel numbering as advised by Shauna Kelly at https://shaunakelly.com/word/numbering/numbering20072010.html and only use the desktop app (Windows or Mac) to edit the document.

    Sharing on Sharepoint and opening in Word online could be doing this.

    Do these documents have the setting checked to update styles from template upon opening?
    This is on the Developer Tab under Document Template.

    Is the numbering applied to the headings in the body of the document that then display in the TOC? Or is the numbering applied only to the TOC?

    Regarding the issue where Word is removing or losing your numbering format, please try using “Define New Multilevel List” instead of “Define New List Style.” After that, link each list level to a unique paragraph style and then reapply the styles throughout the document. This method helps ensure that Word preserves the numbering structure when saving the file.     To help isolate the problem, could you please confirm the following?

    • Does the issue occur for all users, devices, and files, or is it limited to a specific user, specific device, or specific document?
    • Have you tried defining the list style in Word for the web, or opening the affected file in Word for the web to see if the formatting persists?

    Additionally, please try opening Word in Safe Mode to check whether any add‑ins are causing the issue.
