Outlook. I cannot attach word documents to emails. I can attach pdf documents and photos so the problem is only with Word.

Word files are saved to a Document folder on the PC and are backed up to the cloud with Microsoft 365. I have just noticed that when I click on the Outlook attach file icon, some files in the dropdown menu are marked with the cloud icon. If I click on those to attach, they are the ones which will not download. I can attach these documents if I go to the PC's Document file and attach them from there. The problem seems to be downloading form the cloud.

Thank you for letting me know.

Those files with the cloud icon are not fully on your PC. They are online-only. Outlook tries to download them first, and that’s where it fails.

That’s why it works when you go to Documents, those are local copies.

In the meantime, here are a couple of workarounds you can try:

Compress the files into a ZIP folder:

  • Sometimes attaching the PDF and XML inside a ZIP file can help bypass silent filters that block certain attachments.

Or upload the files to OneDrive:

Sorry, I have an email from John Doyon but cannot answer his questions there. I have Outlook on my PC so I guess that is on the web. It is a personal account. When I try to attach a word document to an email, the attachment box opens naming the document (as usual) and then a message appears in the box that the document cannot be downloaded. The documents are .docx format and the same problem occurs with all those that I have tried.

Outlook blocks certain attachment types that can potentially spread viruses. Word documents may be blocked depending on their format or extension.

To work around this, compress the Word document into a ZIP file and attach that instead:

    1. In File Explorer, locate the Word document.
    2. Right-click the file and select Send to > Compressed (zipped) folder.
    3. In Outlook, create a new email and select Attach File.
    4. Browse to and select the new .zip file to attach.

If the ZIP attaches successfully, the issue is Outlook’s attachment blocking for that file type. For more details and the full list of blocked types, see the “Blocked attachments in Outlook” article referenced in the documentation.

If Word files still cannot be attached even as ZIPs, verify that other file types (like a simple .txt file) can be attached. If only Word files are affected, save the document as PDF (which already works for this setup) as a temporary workaround while checking any security software or policies that might additionally restrict .doc/.docx.
