In Dynamics 365, the difference between a static list and a dynamic list comes down to how the members of the list are maintained.

  • A static list is a fixed group of records that you manage manually. Once a contact, lead, or account is added to the list, it remains there until someone explicitly removes it. This is useful when you want complete control over the membership, such as for event attendees or a hand-picked group of customers.
  • A dynamic list, on the other hand, is based on criteria that you define. Dynamics automatically adds or removes records as they begin or stop meeting those criteria. For example, you could create a dynamic list containing all active customers in a particular region, and the membership would update automatically as customer data changes.

A simple way to think about it is:

  • Static List = You manage the members.
  • Dynamic List = Dynamics manages the members based on rules.

As a general recommendation, use a static list when you need a fixed audience, and a dynamic list when you want the list to stay synchronized with changing business data.
