Budget registry entry (form)

Click Budgeting > Common > Budget register entries > All budget register entries. Double-click a budget register entry or click Budget register entry on the Action Pane to create a budget register entry.
Important
If you are using budget control, configure budget control before you create budget register entries.
Use this form to create, update, or view a budget registry entry, such as an original budget or transfer budget entry.

On the Budget register entry FastTab, you can enter information, such as the budget model and budget code, for the whole budget register entry. In the Budget account entries grid, you can enter information about the budget amounts for specific financial dimension values for each budget account entry.
You can edit and delete budget register entries that have a status of Draft, but not if the status is Completed. If you use budget control and it is turned on, the budget register entries that you process can be included in the calculation of the available budget balance. For more information, see Set up budget control.
Some budget register entries require approval before you can update budget balances. If the Workflow field in the Budget codes form has a value for the selected budget code, a yellow information bar appears at the top of the Budget register entry form after you save the information. This information bar might be displayed or hidden, depending on whether you selected a field in the header or on a line. You can click the View workflow instructions icon on the information bar to view any instructions that were included when the workflow was set up. You might see a Submit or Actions button, depending on whether you can submit the budget register entry or are a user who must take the next action.

This button is available only if the budget registry entry has a status of Draft and is not being used by another user. You can process entries only to open periods for the fiscal year that is assigned to the ledger. |
Transfer balances |
Open the Transfer balances to budget form, in which you can transfer ledger balances to the budget. This button is available after you save a budget register entry that has a budget model and a budget code that has a budget type of Original budget. |
Refresh |
Refreshes the data in the form. |
Export to Microsoft Excel |
Export information from the form into Microsoft Excel. |
Attachments |
Create or view documents that are attached to the budget register entry. |

Create transfer |
Open the Create budget transfer form, in which you can transfer a budget amount from one financial dimension value to another when you are entering other budget register entries. For more information see, Create budget register entries and Create budget transfer (form). |
Enter recurrence |
Enter recurrence details, if the selected budget account entry contains an expense amount that you want to enter for multiple periods. When you click Create in the form that is displayed, additional entries that match the recurrence pattern are added immediately after the selected budget account entry. This button is available for all budget types. If you select a budget account entry that has a status of Draft, this button is available if the budget account entry contains at least one financial dimension value and has an amount other than zero. For more information, see Create budget register entries. |
Allocate across periods |
Select a period allocation key to use to allocate the current budget account entry amount across periods. When you click Allocate in the form that is displayed, the selected budget account entry is reversed. Then, additional entries that match the period allocation key are added immediately after the reversing entry. For more information, see Period allocation categories (form) and Create budget register entries. |
Allocate to dimensions |
Select a budget allocation term to use to allocate the current budget account entry amount across financial dimension values. When you click Allocate in the form that is displayed, the selected budget account entry is reversed. Then, additional entries that match the budget allocation term are added immediately after the reversing entry. For more information, see Create budget register entries. |

Default date |
Enter the date to use as the default date on the budget account entries. This date determines the period that the budget will be recorded to. |
Entry number |
The document number for the budget register entry. The number is generated from the number sequence for budget register entries, which is set up in the Number sequences area of the Budget parameters form. |
Source document |
The document number of the originating source document, if the budget register entry was generated from another budget register entry. |
Budget model |
Select the budget model that the budget register entry will be posted to. |
Budget code |
Select a budget code to categorize and provide default values for the budget registry entry. Note If workflow is activated for the selected budget code, the budget register entry will be submitted to workflow. |
Budget type |
The budget type for the budget registry entry, which is determined by the selected budget code. |
Reason code |
Select a reason code for the budget register entry. |
Reason comment |
The default comment for the reason code that you selected. |
One-time revision |
Select this check box to exclude one-time revisions from queries. This field is available only if the selected budget code has a budget type of Revision. |
Posting definition |
The posting definition for the selected budget type, if posting definitions are being used. Note This field is displayed only if the Use posting definitions and Enable budget appropriation check boxes are selected in the General ledger parameters form. |
In use |
If this check box is selected, the budget register entry is being used by another user. |
In use by user |
The user who is currently using the budget register entry. |
Budget register entry status |
The status of the budget register entry, which is either Draft or Completed. |
Budget control status indicators |
Budget checking is available when budget control is turned on and the budget type is selected for the budget funds available calculation. The icons that are displayed identify the result of budget checking. A red X indicates that the budget check failed, a yellow triangle indicates that the budget check passed with warnings, and a green check mark indicates that the budget check passed. Workflow status indicators |
If the budget code is associated with a workflow and there is a workflow action pending, workflow status icons are displayed. No workflow icons are displayed if no action is pending or the workflow is completed. |
Date |
Enter the date for the budget account entry. |
Account structure |
Select the account structure for the budget account entry. |
Dimension values |
Select the financial dimension values for the budget amount. |
Amount |
Enter the amount of the budget account entry. If you enter a quantity and price, the amount is automatically calculated as Quantity * Price. |
Amount type |
Select either the Expense or Revenue amount type for the budget account entry. |
Currency |
Select or view the currency code for the current budget account entry. The accounting currency is the default currency. |
Comment |
Enter a comment about the budget account entry. |
Quantity |
Enter the number of units. The value that you enter is multiplied by the price to calculate the amount. For more information, see Ledger transaction quantity. |
Price |
Enter the price to use if you entered a quantity. |
Cash flow forecast |
Select this check box to include the budget account entry in a cash flow forecast. |
Sales tax group |
Select a sales tax group to use if the budget account entry is included in a cash flow forecast. |
