Playbook for Accessible Gaming Events Guideline 111: Transportation

Getting to an event can be particularly challenging for people with disabilities. Transportation options that work for able-bodied individuals don't always work for the disability community. As such, it's important to ensure that there are multiple accessible ways for people to reach your event.

Scoping questions

If you answer "Yes" to any of the following questions, this guideline applies to your event:

  • Must attendees travel to a physical location for your event?

Implementation guidelines

Consider implementing the following guidelines for your event.

Parking

  • Location

    • Choose a location that has parking nearby and doesn't require guests to travel long distances from their cars to the entrance.

    • The path from parking should be unobstructed, flat or have ADA compliant ramps, and be well lit.

  • Quantity

    • In general, a good rule of thumb is to ensure you have twice the amount of ADA parking stalls as you have guests registered who require them.

Mass Transit

  • Location

    • Ensure you have chosen an event venue that is close to an accessible bus or rail stop.

    • Provide guidance on registration sites as to accessible routes and entrances to your venue.

  • Times

    • Ensure that transit comes and goes at times that align with the start and end of your event.

    • Ensure that transit also runs regularly during your event, in case someone needs to leave for an unexpected / urgent reason.

Paratransit

  • Offerings

    • Some mass transit systems offer paratransit, a transportation service for people who cannot use regular transportation services. Check to see if paratransit services are offered to your venue and provide information on these on your event registration site.

    • Consider covering the cost of private paratransit services for guests who require them, especially when said guests are providing a service at your event (e.g. participating in an on-site user research study, giving a presentation).

At-Event Travel

  • Accessible Conveyance

    • If your event will require transportation during the event (such as from one building to another) validate with your transit provider that their services are accessible and plentiful enough to accommodate any guests with disabilities who have registered and requested accommodations.
