Standard Purchase - Order (report)

The Standard Purchase - Order report generates a purchase order that you can print or send by email. It shows buy-from and pay-to vendor addresses, the ship-to address, company information, order number, document date, payment terms, and buyer. It lists each purchase line with the item number, description, quantity, unit of measure, direct unit cost, and line amount. The report also calculates VAT and totals, including prepayment specifications when applicable.

You can filter the report by No., Buy-from Vendor No., and No. Printed. These filters let you generate the document for a specific order, all orders from a vendor, or orders that haven't been printed. Request page options can archive the order and log the interaction with the vendor.

Use cases

Use the report when a purchasing agent needs to send a formal purchase order to a vendor, so the vendor receives a document that confirms the items, quantities, costs, and delivery expectations.

Purchasing agents can use the report to:

  • Generate a formal purchase order to send to a vendor.
  • Confirm the expected receipt date, shipment method, and vendor order or invoice number.
  • Reprint purchase orders for a specific vendor.
  • Archive the purchase order and log the vendor interaction.

Accounts payable and finance teams can use the report to:

  • Review VAT specifications and totals before the order is posted.
  • Verify prepayment amounts and VAT calculated on prepayments.
  • Check payment terms and totals to confirm expected payment obligations.
