outlook same search results differ from a user to another

Hello,

I need some assistance on outlook (heavy client) where I see something strange with the search.

Let's say I look for the term "toto" in the search field of my heavy client. I know I have this term in a mail 10 days ago. This mail is in the mailbox that I and my colleague have full access as a delegation.

When I make the search with the term I find the email, but when my colleague do the search he does not appear as a result and he cannot find it. All outlook search settings a strictly the same. The only difference is the version of the heavy client. While I am running the 2409, he is running the 2402. Another colleague with same mailbox permission also finds the email after the search and his version is also 2409. Thus it looks like the issue would be the version but I have some doubt since the release is almost at the same date. It can be something else, but to be honest I have no clue.

Can you please advise ?

Thank you

Andreas

【outlook same search results differ from a user to another】

Issue: In the same environment, different users will have different search results.

Example: Let's say I look for the term "toto" in the search field of my heavy client. I know I have this term in a mail 10 days ago. This mail is in the mailbox that I and my colleague have full access as a delegation.

    Solution:

We have upgraded the Office suite on all laptops and it fixed the issue.

Have you added the Shared Mailbox as a secondary Exchange account to the Outlook profile?

You may refer to the article under ?Shared Mailbox: Problems with search results": https://support.microsoft.com/en-gb/office/troubleshooting-outlook-search-issues-2556b11f-f4d8-46be-b0a7-de33a3f4f066#bkmk_sharedmailbox

    Hi NoOneCan & SokiGuo-MSFT,

    Thank you for your message.

The issue is seen with a user account where poeple have full delegation, not with a shared account. Some poeple have the issue, some not !?! What drives me mad is that the only difference is the outlook version and that this issue wasn't here months ago. And regarding the versions, the release are so close (both in september) that I doubt that this can be the issue

Thank you for your interest in my problem

    Hi @Pfeiffer Andreas - UCI

Outlook desktop search is based on Windows search, and online use server engine.

Here are some general troubleshooting steps for Outlook searching issue, hope that may help:

    1. Check updates for Office to make sure the desktop app is in the latest version.
    2. Try rebuilding index: Go to File -> Options -> Search -> Indexing Options -> Advanced -> Rebuild index. Before indexing, go to File -> Options ->Search->Indexing Options -> Modify -> ensure all the locations checked in here.
    3. If your account is Office 365 online account and the desktop client is part of Office 365 suite, use Office 365 SaRA tool: https://diagnostics.office.com/
