Hi,

I'm currently in the process of making a MS forms that will be connected to a Dashboard in Power Bi. It is therefore important that I make a forms for excel so that I can connect the real-data from the excel to Power Bi so it is continuously updated. However, I cannot access this button in teams, onedrive or sharepoint. I am using the new sharepoint and I have tried different solutions that I have found here but it is still not working and I'm only seeing "Forms survey" as an option. Could someone please help me with accessing this function?

    Dear Anonimous

    Welcome to Microsoft Q&A.

Thank you for sharing your question. I understand you want to create a Microsoft Form linked to Excel so that responses can feed into an Excel workbook and then connect to Power BI for real-time updates. You mentioned that you cannot find the “Forms for Excel” button in SharePoint, Teams, or OneDrive and only see “Forms survey” as an option.

This is expected behavior because Microsoft has changed how this feature works. The Forms for Excel option is no longer shown in the SharePoint “New” menu in many tenants. Instead, the recommended way is to create the form directly from Excel Online, which automatically links the form to the workbook.

To create a Form linked to Excel:

    Step 1: Open Excel Online

Go to OneDrive or SharePoint document library where you want to store the Excel file.

Create a new Excel workbook or open an existing one in Excel Online.

    Step 2: Insert a Form

In Excel Online, go to the Insert tab, Click Forms > New Form.

    User's image

This creates a Microsoft Form automatically linked to the workbook.

Responses will populate the Excel file in real time.

    Step 3: Share the Form

Click Collect responses in the Forms interface.

    User's image

Share the link with users to start collecting data.

    Connect Excel to Power BI

Ensure the Excel file is saved in OneDrive for Business or SharePoint Online.

    In Power BI Desktop:

Select Get Data > Web or Get Data > SharePoint Folder.

Enter the file URL and load the data.

Publish the report to Power BI Service and configure Scheduled Refresh for continuous updates.

I hope this information helps point you in the right direction. If you run into any issues while trying the steps, or if something still doesn’t feel quite right, please don’t hesitate to reach out again. I’ll do my best to support you however I can.

Looking forward to hearing back from you with any updates or additional details.

    Warm regards,

To access the "Forms for Excel" feature in SharePoint, ensure that you have the necessary permissions and that the feature is enabled for your organization. If you are only seeing the "Forms survey" option, it may be due to the following reasons:

    1. Permissions: Check if you have the appropriate permissions to create Forms for Excel. You may need to contact your administrator to verify your access rights.
    2. Site Collection Settings: Ensure that external sharing is enabled for your SharePoint site collection, as this can affect the availability of certain features.
    3. Browser Compatibility: Sometimes, browser issues can prevent certain features from displaying correctly. Try accessing SharePoint using a different browser or clearing your current browser's cache.
    4. Microsoft 365 Admin Center: If you are an administrator, check the Microsoft 365 admin center to ensure that Microsoft Forms is turned on for your organization.

If these steps do not resolve the issue, consider reaching out to your IT support for further assistance.
