Microsoft 365 features that help users manage their subscriptions, account settings, and billing information.
Microsoft Authenticator supports exporting saved passwords, but not the full set of account data (MFA/TOTP entries, account credentials, etc.). Other account information is backed up and restored via cloud backup, not exported as a file.
Export passwords from Microsoft Authenticator
- Open the Microsoft Authenticator app.
- Tap the menu icon (⋮ or ☰) and go to Settings.
- Scroll down to the Autofill section.
- Select Export Passwords.
- Tap Export.
- Choose a folder/location to save the export file and tap Save.
Important notes:
- The exported password file is not encrypted and is not secure. After importing into another password manager, delete the export file.
- Only passwords are exported. Addresses and payment cards must be recreated manually in the new provider.
- You can then import the CSV into another password manager (for example, Google Password Manager or iCloud Keychain) using their import instructions.
Backing up accounts (MFA/TOTP) instead of exporting
Microsoft Authenticator does not provide a generic export file for MFA/TOTP accounts. Instead, it backs up account credentials and app settings to the cloud so they can be restored on a new device:
- Backups and restores must be done on the same device type (iOS → iOS, Android → Android).
- Backed-up information includes:
- Microsoft personal accounts (one-time password codes; passwordless sign-in requires re‑sign‑in after restore).
- Work or school accounts (account name only; sign‑in required after restore).
- Third‑party accounts like Amazon, Facebook, Gmail (one-time password codes).
On Android, for example:
- Open Microsoft Authenticator.
- Tap the menu icon → Settings.
- Under Backup, turn on Cloud Backup.
- Select a Microsoft personal account to store the backup.
On iOS, backup uses iCloud (iCloud Drive/Keychain/Backup) with the Authenticator iCloud backup toggle enabled.
This backup mechanism is the supported way to move Authenticator account data between devices; only passwords can be exported as a file.
