The rise of AI-powered tools in Microsoft 365 has transformed the way organizations interact with information. Instead of relying solely on manual searches, custom queries, or repetitive workflows, employees can now delegate many of these tasks to Microsoft 365 Copilot and its family of specialized agents. These tools bring intelligence directly into the everyday applications that knowledge workers and IT teams use, helping to bridge the gap between raw data, business processes, and actionable insights.
At its core, Copilot isn’t just a chatbot. It’s a collection of role-focused assistants that plug into the Microsoft 365 ecosystem. For example, Microsoft’s Researcher agent helps uncover, filter, and summarize vast amounts of content. The Analyst agent extends this capability into structured data, integrating with tools like Excel and Power BI. Meanwhile, prebuilt and custom agents handle specialized functions ranging from simple inquiries to more advanced service management tasks, often in a more automated or workflow-driven way than Copilot alone. Together, they give organizations flexible options for applying AI where it adds the most value.
Understanding the differences between Copilot and agents is crucial because they operate at different levels of scope and complexity. Copilot instances are tightly integrated with Microsoft 365 apps and the Microsoft Graph, which makes them great for interactive, user-driven tasks. Agents, on the other hand, can be designed for repeatable workflows, department-specific processes, or integrations with systems outside Microsoft 365.
The following sections describe some real-world examples that can help you determine whether a request belongs in Copilot, an existing agent, or a custom-built agent.
Use cases for Microsoft 365 Copilot
Microsoft 365 Copilot integrates directly into the apps employees already use every day, such as Word, Excel, Outlook, PowerPoint, Teams, and more. In these apps, Copilot accelerates common tasks like drafting, summarizing, analyzing, and formatting content. But Copilot also exists as Copilot Chat, which provides a conversational interface to organizational data through Microsoft Graph. Copilot Chat isn’t tied to one document or app; instead, it lets users ask broader, cross-application questions and get answers that span multiple data sources.
For IT admins, the distinction matters. In-app Copilot use cases optimize productivity inside a single workflow (writing, building presentations, analyzing spreadsheets). Copilot Chat, on the other hand, becomes a “knowledge discovery” layer across the tenant, helping employees navigate the complexity of SharePoint libraries, Teams conversations, Outlook threads, and more. Both are important, but they solve different problems.
The following examples show where in-app Copilot is strongest, and where Copilot Chat adds unique value.
Drafting and content creation (in-app Copilot). In Word or Outlook, Copilot can generate first drafts of proposals, reports, or emails. For example, a project manager could ask Copilot in Word to “Draft a project status report based on yesterday’s meeting notes.” Doing so applies in-app context (the Word canvas and recent files) rather than a cross-tenant query. IT admins should ensure transcription and document storage policies are configured correctly so Copilot can access the right meeting notes.
Summarization and meeting insights (in-app Copilot + Copilot Chat). In Teams, Copilot can summarize a single meeting transcript and suggest action items (in-app). But a user might also open Copilot Chat and ask: “Summarize all meetings I had this week that discussed the Contoso rollout.” Copilot Chat aggregates across multiple meetings, chats, and emails, offering a broader view. For admins, enabling this cross-meeting and cross-app summarization in Copilot Chat requires configuring transcription policies and ensuring Graph indexing is complete.
Data exploration in Excel (in-app Copilot). A sales manager can ask Copilot in Excel: “Show me a chart of product growth by year.” Copilot generates the visualization directly in the workbook, without the manager needing pivot tables or formulas. This user request is highly contextual to the spreadsheet itself, making it an in-app scenario.
Knowledge search across apps (Copilot Chat). A user might ask Copilot Chat: “Show me the latest customer feedback about our mobile app.” Instead of searching one repository at a time, Copilot Chat queries Outlook emails, Teams chats, and SharePoint files together. For admins, supporting this cross-app search in Copilot Chat means making sure Microsoft Search is properly configured so that only content a user has permission to see is included in results. If your organization connects other data sources (such as ServiceNow, Salesforce, or other systems), Microsoft Graph connectors must be configured correctly so that Copilot Chat can retrieve that information securely.
Presentation and visualization support (in-app Copilot). In PowerPoint, Copilot can create slide decks from Word documents or Excel data. A department head could say: “Build a presentation consisting of five slides that summarize Q2 performance using the finance report and marketing update.” Copilot assembles a draft deck inside PowerPoint, which the user can refine further. This request is tied to the app experience, not Copilot Chat.
Use cases for the Researcher agent in Microsoft 365 Copilot
The Researcher agent in Microsoft 365 Copilot specializes in helping users work with unstructured information, such as emails, Teams chats, Word documents, SharePoint files, and more. Most organizations have an overwhelming volume of this type of content, making it difficult to locate the right information at the right time. Researcher reduces this friction by applying semantic search, summarization, and context-aware filtering to pull the most relevant content into view.
Knowledge discovery. For example, imagine an IT admin tasked with preparing a briefing on past network outages. Instead of manually searching through incident logs, SharePoint folders, and archived Teams messages, Researcher can surface a curated list of incidents, grouped by similarity. The admin could then ask it to summarize the root causes, highlight recurring issues, and identify which departments were most affected. This type of semantic search goes beyond keyword matching. It understands the relationships between people, projects, and activities as represented in Microsoft Graph.
Summarization of long-form content. In another scenario, a compliance officer might need to review hundreds of pages of contracts for references to a specific clause. Researcher can condense those documents into a digestible summary while still linking back to the original sources for validation. For admins supporting compliance teams, content summarization reduces the time spent chasing files or clarifying ambiguous wording. It also helps with preparing summaries for executives who want the “big picture” without diving into every detail.
Contextual insights across apps. Because Researcher works across multiple Microsoft 365 apps, it can pull together a single view of a project’s progress, even when information is scattered. For instance, pulling requirements from Word documents, timelines from Planner, and risks discussed in Teams. Doing so makes it easier to support business users who need a consolidated project status report but don’t have the technical know-how to connect all the data themselves.
Use cases for the Analyst agent in Microsoft 365 Copilot
Where the Researcher agent handles unstructured data, the Analyst agent in Microsoft 365 Copilot focuses on structured information such as tables, spreadsheets, and dashboards. For IT admins supporting finance, operations, or data teams, this distinction is important. Analyst can streamline the process of turning raw numbers into visualizations, statistical insights, and recommendations—tasks that often overwhelm nontechnical business users.
Data analysis in Excel. Imagine a department head who accumulated years of budget spreadsheets but doesn’t have time to run pivot tables or regression analysis against them. The Analyst agent can clean the data, identify anomalies, and generate forecasts using natural language queries. For example, “Which quarter had the highest variance between forecast and actual expenses?” Instead of training the department head in advanced Excel features, the IT team can rely on Analyst to bridge that knowledge gap.
Power BI integration. Another common case is when leadership requests on-demand dashboards. The Analyst agent can query Power BI datasets and create charts and insights automatically, so users don’t need to write DAX formulas or know how the calculations work behind the scenes. Suppose the operations team asks for a breakdown of shipping delays by region. Analyst can retrieve this information from the Power BI model, generate an appropriate visualization, and even suggest drilldowns, such as “by supplier” or “by transport method.” Doing so reduces the dependency on BI developers for simple but time-sensitive requests.
Automated insight generation. The Analyst agent in Microsoft 365 Copilot doesn’t stop at data visualization; it can also generate narrative explanations. For example, it might note that “Sales in the Midwest declined 12% last quarter, primarily driven by reduced orders from two key clients.” Business leaders who use the Analyst agent can spend less time interpreting dashboards and more time acting on them. The Analyst agent also ensures consistency across the organization. Every team receives insights in a standardized format and phrasing, reducing misinterpretation and aligning reporting with organizational policies.
Use cases for other prebuilt agents
Prebuilt agents in Microsoft 365 Copilot are ready-made assistants provided by Microsoft and its partners that anyone in your organization can use without building anything from scratch. These agents are designed to help users with common tasks and professional scenarios, ranging from writing and brainstorming to career planning and idea generation. For IT admins, prebuilt agents are low maintenance: they’re preconfigured, secure, and maintained by Microsoft, so organizations don’t need to develop or manage the underlying logic.
This training previously discussed two foundational prebuilt agents - Researcher and Analyst. We called these agents out separately since they support the most common knowledge discovery and data analysis scenarios in Microsoft 365 Copilot. However, it’s important to note that Microsoft 365 Copilot includes a bevy of other prebuilt agents that cover a wide spectrum of issues. For example:
Writing Coach. This agent helps users improve written communication across emails, documents, and presentations. For example, a marketing associate might ask the Writing Coach to refine the tone of a client email, suggest grammar improvements, or provide clarity on complex sentences. It’s also useful for employees who aren’t confident in formal writing or who want to maintain consistent organizational style.
Career Coach. The Career Coach agent assists users in professional development. Employees might ask it for advice on improving skills, preparing for interviews, or planning career growth. For instance, it could suggest relevant LinkedIn Learning courses, provide feedback on resumes, help draft cover letters, or prepare for job interviews.
Ideas Coach. This agent supports brainstorming and ideation processes. A product manager could ask the Ideas Coach for new features for an existing product, or a team could request creative approaches to solving a workflow challenge. The agent can generate multiple suggestions, summarize them, and even rank them based on user-defined criteria.
Other prebuilt agents. Microsoft provides access to numerous prebuilt agents, such as meeting facilitators, focus assistants, and project helpers. Each agent targets a specific user scenario, reducing the need for employees to create their own solutions. Because these agents are prebuilt and maintained by Microsoft or supported Microsoft partners, organizations can deploy them quickly, ensuring consistent functionality and minimizing support overhead.
Use cases for custom agents built by everyday business users
Not every organization has developers on standby to create advanced agents, and not every scenario requires one. With Copilot Studio and related no-code/low-code tools, everyday business users with no programming experience can build their own agents to handle repetitive questions, provide quick lookups, or guide colleagues through common processes. These agents don’t execute complex automation, but they do reduce friction and free up time for both business teams and IT staff. For IT admins, the focus is less on building the agents themselves and more on setting up governance, monitoring, and guardrails so that innovation can happen safely.
Department-specific Q&A bots. For example, a marketing coordinator could create an agent that answers common questions about branding guidelines: “What fonts should we use for PowerPoint presentations?” or “Where is the latest product logo stored?” Instead of constantly replying to emails or Teams pings, the coordinator can point colleagues to the agent. From the IT side, this type of use case requires making sure the agent has the right access to SharePoint or OneDrive folders where the official assets are stored.
Guided process support. A team leader in Finance might design an agent that walks employees through submitting travel expenses. The agent could provide a structured checklist, such as collect receipts, confirm expenses meet policy requirements, and link directly to the submission form. The key difference is that this agent doesn’t automate the workflow or interact with backend systems; it simply packages the instructions in a consistent, reusable way. Doing so removes confusion, ensures that policy guidance is always up to date, and reduces repetitive “how do I…?” tickets
Connecting to simple data sources. Everyday business users can also create agents that pull from structured data stored in Excel or SharePoint lists. For example, an HR staffer could set up an agent that looks up the company’s training catalog and answers, “Which cybersecurity training is mandatory this quarter?” The HR agent doesn’t need to run analytics or orchestrate multiple systems; it just provides fast lookups to relieve pressure on HR staff.
Use cases for SharePoint agents
SharePoint remains one of the most widely used platforms for storing organizational knowledge, and SharePoint agents extend that value by helping users find, manage, and act on content more efficiently. These agents are purpose-built to use SharePoint’s document libraries, lists, and metadata. For IT admins, SharePoint agents also raise important governance questions, since access control, retention, and compliance rules directly affect what the agent can surface.
Content discovery and navigation. A SharePoint agent can help employees quickly locate policies, templates, or project documentation without needing to know the exact folder structure. For instance, instead of clicking through multiple libraries, a user might ask, “Show me the latest project charter for the North America rollout.” The SharePoint agent can interpret this request semantically and retrieve the document, even if it’s stored under a non-obvious file path.
Document lifecycle assistance. SharePoint agents can guide employees through document management processes. For example, when a project manager uploads a contract, the agent could remind them to apply the correct metadata, check whether a retention label is required, and notify legal if the document matches specific compliance rules. Doing so reduces human error and ensures better compliance with records management policies
Workflow enablement. SharePoint often serves as the hub for workflows that involve multiple stakeholders. A SharePoint agent could monitor a list of project tasks and automatically notify team members when deadlines are approaching, or escalate overdue items. In another scenario, a SharePoint agent could track updates in a shared knowledge base and send personalized digests to employees based on their role.
Use cases for custom, advanced Copilot agents
While prebuilt agents cover many standard scenarios, some organizations need highly tailored solutions. Custom agents allow IT teams and developers to design AI workflows that reflect specific departmental or industry needs. These agents can integrate with APIs, automate multi-step processes, and provide contextual responses that go far beyond what Copilot alone can do.
Automating workflows. A custom agent could handle expense approvals end-to-end. When an employee submits an expense report, the agent could validate the data, check compliance against company policy, and route it to the correct manager. If approval is granted, it could then trigger an update in the financial system. For admins, building such an agent usually involves applying Power Automate connectors, custom APIs, and appropriate governance to ensure accuracy and compliance.
Department-specific needs. Consider a legal department that frequently reviews NDAs. A custom agent could scan uploaded contracts, identify risky clauses, and flag them for legal review. Doing so saves time for lawyers while ensuring consistent review criteria. IT admins would play a key role in connecting this agent to the document repository, enforcing data loss prevention policies, and configuring access controls.
Cross-system orchestration. Another example is supply chain management. A custom agent could monitor incoming orders, query inventory systems, and automatically trigger manufacturing workflows if stock is low. It might also send proactive alerts to managers when delays are likely. For IT admins, doing so requires setting up secure integrations between ERP systems and Microsoft 365, while also building guardrails to prevent unintended actions.
Selecting the right tool (Copilot vs. Agent)
Choosing between Copilot and agents isn’t just a technical decision; it’s about aligning the right tool with the right business problem. Both are powerful, but they excel in different contexts. Copilot works best for unplanned, user-driven tasks inside Microsoft 365 apps. Agents shine when processes are repeatable, involve multiple steps, or need to connect with systems outside Microsoft 365.
When to use Copilot. If a business user needs to quickly summarize a report, analyze last month’s sales figures, or pull together a project update, Copilot is the right choice. These types of tasks are usually one-off requests, often driven by the user’s immediate need for insight or content. IT admins should see Copilot as the “frontline” tool for enabling productivity inside familiar apps.
When to use a prebuilt agent. If a department is drowning in repetitive requests, such as IT password resets or HR vacation policies, a prebuilt agent can provide immediate relief. IT admins should consider prebuilt agents whenever the volume of requests is predictable and the workflow is standardized.
When to use an agent created by an everyday business user. Everyday business users with no programming experience can build simple agents in Copilot Studio. These agents are best suited for lightweight, department-specific needs, such as answering common questions about a team’s internal processes or providing quick links to shared resources. For example, an HR coordinator might build an agent that answers “How do I update my direct deposit?” or routes employees to the correct benefits form. IT admins should encourage this approach when the solution doesn’t require system integration or complex automation but still reduces repetitive work within a single team.
When to use a SharePoint agent. SharePoint agents are well-suited for scenarios where content governance, site management, or information retrieval must be automated. For example, a SharePoint agent could help automatically apply sensitivity labels to new documents, answer employee questions about site permissions, or surface policies stored in document libraries without requiring manual search. IT admins should look to SharePoint agents whenever the tasks involve structured content stored in SharePoint, site configuration, or governance workflows that are too specific for general Copilot use but don’t require a fully custom agent.
When to use a custom, advanced agent. Custom agents are appropriate when a workflow is complex, spans multiple systems, involves automating tasks, or requires organization-specific logic. For instance, automating vendor onboarding might require checking tax forms, updating ERP records, and notifying managers. Copilot alone can’t orchestrate this type of end-to-end processing, but a custom agent can. IT admins should also evaluate the long-term maintenance and governance requirements before deploying.
