Hello AliceJames007,

Many thanks for your kindly reminding. As you know, the 'Downloadable Reports' and 'View pending or completed traces' are resource from same message trace reports, as the Message Trace in the Security & Compliance Center is a new added improved feature in Office 365, the official document haven’t mentioned the related information about this yet. I could only find the delete policy in EAC. Thus, the 'Downloadable Reports' should be deleted automatically as EAC did.

However, if it is convenience for you, I could tell you my test results after 10 days so that we can clearly about this situation. Your understanding is highly appreciated.

For your new concern: “How to do filtration and sorting for 'Downloadable Reports' section if we have big list message trace report”? By default, the results are sorted in chronological order, the list of traces is sorted based on the date and time that they were submitted, with the most recent submissions appearing first. We are not able to change the filter or sort.

If you have many reports list there, as a workaround, I suggest you type a name for the report title before preparing it. As you can see in the following screenshot:

Then you can press Ctrl + F and type the name to search the result quickly.

I hope this can help. Please feel free to let me know if you need any further assistance. I am glad to help you.

Best Regards,

Sylvie

    Thanks Sylvie for your response.

But I am wondering both if both options 'Downloadable Reports' and 'View pending or completed traces' refer same message trace reports, how message traces remove from one location but not with other location?

Instant online access option will be disabled for more than 10 days report.

    Hello MichaelJames007,

Many thanks for your detailed screenshots. For your concerns:

    1. How to delete canceled trace report from Security & Compliance?

Based on my tests and researches, deleting the records of Message Trace reports is not feasible in Office 365. However, as a workaround, there are several report types you can choose. If you just want to perform a test, I recommend you choose Instant online access as the report type, which won’t be listed under the Downloadable reports list. The results will be listed, sorted by descending date/time. Moreover, you can export the results as a .csv file if you wanted.

For more information about the Message Trace report type, you can refer to this article.

    1. How to delete message traces from 'View pending or completed traces' of EAC?

Based on my knowledge, the message traces containing data that is more than 7days old are automatically deleted in the EAC after 10 days. You cannot delete it by yourself.

Here for your reference: Run a message trace and view the results in the Exchange admin center.

Besides, I understand this may be not very suitable for your goals, to help us improve our features, I recommend you submit your idea in Office 365 Admin to make Office better. Your valuable suggestions are important to us.

I truly appreciated your understanding and cooperation.

    Best Regards,

    Sylvie
