SharePoint - Alerts - "KeyPoints"

Hello,

We setup notifications for several document libraries on SharePoint and I noticed the alert on one of the libraries has a section called "KeyPoints" and appears to summarize the entire document within the notification email. See attached image. Where is this "KeyPoints" section coming from and how do I remove it from the alert emails?

Thanks,

Jason

Hi Jason,

I too experienced the same thing on my end, what I have noticed that some documents have data in Keypoints column, and some are empty. Based on my test, I observed the following behavior:

  1. Keypoints column shows the data of the second paragraph from the document.
  2. Column contains data for the documents which have text with images or .rtf files.
  3. Only available for .docx files

I further checked our internal database and also the information available on the internet but there is no proper explanation. If you would like to find the exact information behind this behavior, I will suggest you contact your admin so they can contact Microsoft support. We would really like to help, but we don’t have an escalation channel to escalate this request.

Once you reach the assisted support for the request, they’ll help you find the root cause, the support their can also contact the related team, if required  To create support ticket admin can go to Microsoft 365 Admin center>Support>New service request. We appreciate your understanding and co-operation.

With sincerest regards,

Neha

    Hi Neha,

Thank you for replying so quickly and explaining the KeyPoints column.

Is there a reason why the other document libraries I setup do not display KeyPoints in the email alerts I setup for users to receive? The other libraries contain .docx files as well. It is just this one document library I setup that contains KeyPoints in the alert emails.

    Thanks,

    Jason

    Hi Jason,

KeyPoints” column shown in the alert email is a SharePoint column which is usually hidden, you can show this column in the library by choosing Show/hide columns.

It is a default column which we cannot delete, even if the column is hidden, it still contains data in the background. Keypoints columns has the concept of pulling a few key sentences/phrases from docx files which help summarize what can be found in the document. This was designed to allow users to quick glance the document. The data in the said columns is available only for .docx files.

We understand your situation but since this column is a default column; we cannot remove from the alert email.

Thanks for your understanding and co-operation.

    Regards,

    Neha
