Create speaker notes
Your slides are built, your visuals are on brand, and your message is clear. The final step is delivery. In this unit, you'll prepare to present with confidence by generating speaker notes at scale, refining them for your audience, rehearsing your delivery, and creating translated versions for global stakeholders.
Generate speaker notes across all slides
Writing speaker notes manually for a 15-slide deck is time-consuming and easy to skip under deadline pressure. With Copilot, you can generate a full draft of speaker notes for every slide in seconds, giving you a complete narrative script to work from before you rehearse a single line.
To generate notes for all slides at once:
Open the Copilot pane.
Enter a prompt to generate notes for the full deck. For example:
Add speaker notes to all slides in this presentation. Write them as concise, bulleted talking points that expand on the slide content without repeating it. Assume a business audience with limited time. Focus on key explanations, transitions, and what I should emphasize when presenting.
Review the generated notes and select Keep it to accept the full set, or Discard to remove them.
To generate notes for a single slide, navigate to that slide, then prompt: Add speaker notes to this slide. Be sure to include detailed instructions in this prompt so your results are specific to the desired outcome. This ability is useful when you want to regenerate notes for one section without overwriting the rest.
Note
This feature works best on presentations with fewer than 50 slides.
Going back to the scenario in this module: your deck covers a complex product strategy with regional market data, financial projections, and executive recommendations synthesized from multiple source files. The notes Copilot generates reflect your slide content, but they're only a starting point. The next step is shaping them for your specific audience and delivery style.
Refine notes for your audience and delivery style
Bulk-generated notes are accurate but generic. They describe what's on the slide. For a high-stakes presentation, you need notes that guide how you deliver each point: what to emphasize, what context to add, and how to transition.
Use Copilot to refine notes on individual slides. Navigate to the slide you want to adjust, open Copilot and prompt directly:
Adjust for tone:
- Rewrite the speaker notes on this slide to sound more conversational. This meeting is an internal leadership update, not a formal board presentation.
- Make the notes for slide 8 more authoritative. I'm presenting ROI figures to a CFO and need to project confidence.
Adjust for length:
- Condense the notes on slide 3 to three bullet points I can glance at while speaking.
- Expand the notes on slide 6. I need more context on the APAC market data so I can answer follow-up questions.
Adjust for persona or audience:
- Rewrite the speaker notes on slide 5 as if I'm presenting to technical leads who ask detailed questions about implementation.
- Simplify the language in the notes for slide 10. My audience includes non-native English speakers and I want straightforward phrasing.
Add delivery cues:
- Add a transition sentence at the end of the notes on slide 4 that leads naturally into the financial projection on slide 5.
- Add a suggested pause point and a question prompt in the slide 7 notes to invite audience reaction.
This approach is much faster than writing notes from scratch, and produces notes that are genuinely useful at the podium rather than a duplication of slide text.
Rehearse your delivery with Speaker Coach
Once your notes are ready, rehearse your delivery before you present live. Speaker Coach in PowerPoint provides real-time feedback on your delivery style as you run through your presentation privately.
To rehearse with Speaker Coach:
- Select the Slide Show tab in the ribbon.
- Select Rehearse with Coach.
- Work through your presentation as if you're presenting live.
- When you finish, Coach opens a Rehearsal Report covering pacing, pitch, filler words, originality, and whether you're reading directly from your slides.
Speaker Coach doesn't rewrite your notes or change your slides. It gives you a candid assessment of your delivery so you can adjust before you present. The combination of Copilot-generated notes and a Speaker Coach rehearsal covers both what you'll say and how you'll say it.
Tip
Speaker Coach currently supports English only. For multilingual delivery preparation, see the next section on translation.
Prepare translated versions for global audiences
Your cross-regional presentation scenario involves audiences in APAC, EMEA, and North America. Even in English-dominant business environments, distributing a translated copy to regional stakeholders signals preparation and lowers comprehension barriers for participants whose primary language isn't English.
Copilot can translate your entire presentation while preserving layout and design. This includes text in slide content and speaker notes, and creates a new file so your original remains unchanged.
To translate your presentation:
- Open Copilot and prompt: Translate this presentation to [language].
Copilot creates a new translated copy. On the web, it saves automatically to the same folder as your original or to your OneDrive root. On Windows or Mac, you need to save the new file manually.
Note
Text in images and videos is not translated. Some elements, such as section titles, may not be translated depending on how they're formatted.
For a 15-slide strategy deck, a practical pattern is to keep your original notes for rehearsal and share translated versions as pre-reads for regional stakeholders. This helps your audience arrive prepared and shifts your Q&A from basic clarification to more meaningful discussion.
Tip
Translation works on the full deck. If you want to distribute region-specific versions that also include only the slides relevant to each audience, ask Copilot in the pane to Show key slides for that region first, then translate the resulting custom view.
