Using Outlook for iOS for personal email and calendar management
There are two supported ways to sync Outlook contacts on a Windows PC with Outlook on an iPhone: via iTunes (direct Outlook ↔ iPhone sync) or via iCloud (Outlook ↔ iCloud ↔ iPhone).
- Sync Outlook contacts to iPhone using iTunes
- Install and update Apple iTunes on the PC.
- Connect the iPhone to the PC with the USB cable (or place it in an Apple dock).
- iTunes should open automatically.
- In iTunes, under Devices, select the iPhone.
- Select the Info tab.
- Under Contacts, choose Sync contacts from, then select Outlook.
- Choose one of:
- All contacts – sync every Outlook contact, or
- Selected groups – choose specific contact groups.
- Click Apply to start synchronization.
Notes:
- Each time the iPhone is connected to the PC and synced in iTunes, changes in Outlook or on the iPhone are synchronized.
- If using an Exchange account with more than 500 contacts, Cached Exchange Mode may be required for all contacts to sync. See Turn on or off Cached Exchange Mode in the linked documentation.
- Sync via iCloud for Windows (keeps contacts in the cloud)
Use this if iPhone contacts are in iCloud and Outlook should show the same contacts.
- On the PC, download and install iCloud for Windows from Microsoft Store.
- Open the iCloud app and sign in with the Apple ID used on the iPhone.
- In iCloud, select Contacts and Calendars, then click Apply.
- Open Outlook on the PC. iCloud contacts will appear and synchronize between Outlook and the iPhone via iCloud.
- Ensure Outlook app on iPhone can use contacts
If using the Outlook app on iPhone and want those contacts available in the iOS Contacts app:
- On iPhone, open Settings > Outlook.
- Turn on Contacts and Background App Refresh.
- In the Outlook app, go to Settings > tap the account > ensure Sync Contacts is enabled (if available).
This setup keeps Outlook contacts on the PC and iPhone synchronized either through direct iTunes sync or through iCloud, and allows the Outlook app on iOS to access and share those contacts with the device’s Contacts app.
