To share your Planner application on a Teams channel with guest users, you can follow these steps:
- Ensure that Microsoft 365 Groups guest access is enabled for your organization, as Planner builds on this feature.
- Add the guest to the group associated with the plan. You can find the group by going to outlook.com, scrolling down to the Groups folder in the Folders pane, and finding your plan name.
- The guest will receive a welcome email from the group. If they do not already have a guest account with your organization, they need to accept this invitation to create one.
- Guests need to use a specific plan URL to access the plan. The general Planner URL (tasks.office.com) won't work for guests as it does not know which organization they want to sign in to.
- Set the appropriate guest permissions for channels in Microsoft Teams. You can do this by selecting Teams on the left side of the app, going to the team name, selecting More options > Manage team, and then Settings > Guest permissions.
- Share the channel with the guest users by going to the channel you want to share, selecting More options > Share channel > Share with people, typing their email addresses, and selecting them from the list.
Please note that there are some limitations on what guests can do in Planner, such as not being able to create plans or add other guests¹. Also, ensure that the guest users have the necessary permissions set in Microsoft 365 Groups settings to attach files or links to tasks if needed.
If you've followed these steps and the guest users still cannot see the Kanban Board in the Planner application, it might be a good idea to check if there are any specific settings or restrictions within your organization's Microsoft 365 setup that could be affecting their access.
