Email templates and duplicate sent email messages

Good afternoon, I have a couple questions about using outlook.

#1 - Everytime I send an email it shows duplicate entries in my sent folder? Why is that the case and how can I correct this issue?

#2 - I use email templates and quick parts a lot for frequent email messages. The new outlook does not have this as an available option. Can you let me know if this is a problem that can be corrected? I used it all the time in the previous outlook version.

I am currently working with Microsoft 365 family. Are there features for that plan that prevent me from being able to use the features i outlined above?

Can I go back to the older outlook version if Microsoft removed these features in the new version? If so, can you explain how I can get that back?

Thank you,

    Hi Joe Victora,

    Welcome to our forum!

#1 – Duplicate sent email messages

According to my research, this issue can occur due to a few reasons:

    • Multiple Accounts or Sync Issues: If you have multiple email accounts in Outlook, or if there’s a syncing problem, emails may appear twice.
    • Add-ins or Rules: Some add-ins or rules may cause duplicates by saving the email multiple times. Go to File > Options > Add-ins, then disable all and re-enable one by one to identify the culprit.
    • Outlook Data File Corruption: Sometimes, a corrupted PST/OST file can cause this.

It is recommended that you delete the old OST file C:\Users%username%\AppData\Local\Microsoft\Outlook Delete the existing OST file (e.g., Outlook.ost). Reopen Outlook – It will automatically recreate the OST file and resync data from the Exchange/IMAP server.

#2 – Missing Email Templates & Quick Parts in New Outlook

The New Outlook for Windows is a simplified version and currently lacks some legacy features, including:

    • Quick Parts (previously under Insert > Quick Parts
    • Email Templates (previously saved as .oft files)

Feature comparison between new Outlook and classic Outlook versions, see: https://support.microsoft.com/en-us/office/feature-comparison-between-new-outlook-and-classic-outlook-de453583-1e76-48bf-975a-2e9cd2ee16dd

#3 – Can You Go Back to the Older Outlook Version?

Yes! If you're using Microsoft 365 Family, you should still have access to the Classic Outlook Desktop App. for more information, see: https://support.microsoft.com/en-us/office/toggle-out-of-the-new-outlook-for-windows-ec102b39-5727-418e-ae1f-a1805434640c

#4 – Are These Features Limited in Microsoft 365 Family?

No, Quick Parts and Email Templates are available in all versions of Outlook Desktop (including Microsoft 365 Family). The issue is only with the New Outlook app.

If you have feedback on what we should consider adding to new Outlook, please use the in-app Help > Give Feedback link.
