Onedrive for Business (Privacy)

Hi,

I am the company admin and also one of the users for our Office 365 Business

We are about to implement Onedrive.

In order to address my colleagues' concerns, I would like to have a confirmation regarding following privacy issues :

  1. Non shared files is private to the user only and no one else (admin, other users within the company, public)
  2. Is there any way in which non shared files can be made visible to other parties, by wrong configuration of admin settings or otherwise?
  3. Setting Onedrive shortcut in our desktops folders to a public folder by default

Is this possible? As our system was deployed by an external IT vendor and we cannot afford any room for error.

Thanks in advance!

Edwin

    Hi Edwin,

    To answer you questions:

1.Yes, it is privacy only for users themselves.

2.No, it will not be seen by others. However, if admin adds other users as administrator of this user's OneDrive for Business site through SharePoint admin center -> user profile, admin is able to see files.

3.You can click the folder ->send to -> Desktop (create shortcuts) to create shortcuts. Right click the shortcuts -> properties to edit this icon.

    Thanks,

    Vinson

    Dear Vinson

    Thanks for your response.

Sync client is already installed by our IT vendor.

The main concern here is on privacy.

If I understand correctly, what you are saying is that it is possible for a user to create a link and successfully share it with someone else even though file permissions is set to personal only?

Is there any way the admin, other users in the company, or public can gain access to another user's files that are placed in onedrive without permission or "link sharing" from the file creator himself?

    Hope this clarifies

    Best Regards

    Edwin

    Hi Edwin,

You can share the files with external user via view link.

1.Locate the file via OneDrive online.

2.Click the ellipsis>share, in the Get a link section, you can choose the view link without sign-in required.

To create a OneDrive shortcut, and put it in a place you want.

If you are using OneDrive Next Generation Sync Client we recommended, you can open the OneDrive folder, right click it.

If you are using OneDrive for business, you can get it in local. If you can’t find it, you can locate the app>right click it >open file location.

And the article about different OneDrive sync client for your reference.

    Thanks,

    Vinson
