PDF Conversion on Word for Mac - No "Best for electronic distribution and accessibility" option.

Hi everyone,

I'm currently trying to work on a solution to convert Word files to PDF (That has Table of content inside).

As the Word file is classified, I cannot use a 3rd party application for the conversion in order to keep privacy about it (Many services for online conversions are there, but it's not good for me)

I've tried using the PDF saving option from the Printing menu but it fails saving the Hyperlinks of the TOC, so that option is not for me.

I've managed to find a way of "Save as.." PDF, with the option "Best for electronic distribution and accessibility" (using Microsoft's online conversion) but for some reason I cannot find this option on the Mac I'm using.

Here are the details:

Office For Mac version - Version 15.26 (160910)

OS X - El Capitan (10.11.6)

Not sure if related - Acrobat Reader DC Pro (From the Creative Cloud app).

I have managed to get a hold on two identical Macs, having the same OSX, Office & Acrobat versions. In one of them I can see the option "Best for electronic distribution" and on the second, its missing.

Any clues what could be the reason for the missing option? Is it about settings?

I'm currently trying to re-install the Office for Mac, I'd love more ideas!

Thanks,

MrFloyd.

I "think" version 15.27 corrects this problem. I run the fast insider release and the "best for electronic...) comes up now on my Save As dialog when I choose PDF. I must use File > Save As and choose the Export Format PDF choice.

Then the option appears on the Save As dialog

None of this will occur if I choose any PDF option from the File > Print dialog.

I said, "I think" this is fixed in the 15.27 release because back in August when I had the insider 15.26 release, I was not seeing this option at all. I did not pay attention if it got fixed during any September updates while I've been running 15.27. However, yesterday I was pushed a new update, which signifies the eminent release of 15.27 publicly and there's a "What's New..." message that PDF enhancements for maintaining links has been made.

Why you've got one machine showing the feature and another not and if both are running the same release... that's a mystery. I believe the MAU (Microsoft Automatic Update) messes up periodically and not all updates get loaded.

The only other final thing I can suggest is try logging in and out of your subscription. Both computers have subscription version of the software don't they? If one's a permanent license, that might be somehow related to the problem.

FWIW: I'm running 15.26 as Insider Slow, but since it's a Retail package I doubt that it makes a difference. The Enhancement is present in Word's Save As dialog... once PDF is selected as the File Format the dialog refreshes. I'm afraid I have no idea why it isn't available to the OP.

However, even with it available, I wouldn't get too excited - The enhancement does nothing to resolve the TOC issue. It simply preserves active hyperlinks which are explicitly written in the document [e.g., http://whozit.whatever.net]. IOW, it still doesn't handle Word fields, nor does it even pick up instances where text or an object has been set as a hyperlink.

In order to stay strictly within Word, the only method I know of is, as a final step in the completion of the document, you have to Bookmark each heading or target passage then individual hyperlink each TOC entry to those Bookmarks.

    Hey Doug,

It is quite irrelevant as I couldn't find a version for the Mac.

Have you heard of the problem I've mentioned above? Do you aware of the option "Best for electronic distribution and accessibility" on the Save as PDF option? Any reason why this option is gone in one of the Macs I possess?

    Thanks!

    Hey Phillip,

I've already tried the choices from the Printing menu. It does convert the PDF but without the hyperlink, which is the whole point.

    Thanks,

    MrFloyd.
