Require content approval for submitted items?

When setting up a new Approval workflow for an existing document repository (over 2,000 docs in library), will the approval status apply to all of the documents?

If so, will every document that's added to the library going forward "require" approval?

What suggestions are there for managing a legacy library but adding new documents that may require approval?

Thanks!

Hi K.W,

From your description, it seems that you want all the files’ status in the existing library to be “require approval” in SharePoint Online and this also applies to a newly added file.

If yes, you don’t need to create a new approval workflow. You can achieve your requirement via clicking on Library Settings>Version settings>select Yes in Require content approval for submitted items?. After checking the option, the newly added files’ status will be Pending and the existing files’ status is Approval. However, you can bulk-change the existing files’ status to Pending via bulk-selecting the files in Content and structure>Actions>Check out>Check in. To enable Content and structure, click Site collection features in Site Collection Administration>click Active in SharePoint Server Publishing Infrastructure.

Thanks,

Cliff

Cliff - My problem was actually the opposite of how I described it However, the bulk-change solution worked.

    Thanks a lot.
