What is the Backup policy for SharePoint Online?

Please explain backup policy for SharePoint Online. How to restore data if some files are missing from SharePoint site ?

Hi PJ_R,

For your first question, there are two levels of recycle bin, Site Recycle Bin and Site Collection Recycle Bin, and the second level only allows access of admins, those actions are reducing the chance of data loss. Besides, you could set Retention Policies to prevent data loss of important content, and you could consider backup them manually.

About the other question, I think Vincent has provided the answer. You may refer to his reply.

I think you might have a wrong impression on SharePoint Online.

Perhaps you are thinking Microsoft hosts individual servers for each SharePoint Online customer, and thus backups each "SharePoint Server" individually, and thus you might be able to request the backup to be scheduled to your convenience? And that if data is deleted by users it can be "restored from backup media" like a traditional server backup model?

Unfortunately its done at datacenter level and thus you have no say or control on how each individual tenant is being backed up or restored.

    Hi Pramod,

    If the retention policy is not enabled, the deleted items stay in the site recycle bin for the whole time. If they deleted from the site Recycle Bin, they go to site collection Recycle Bin, where they stay for the remainder of the 93 days unless:

    1. the site collection Recycle Bin exceeds its quota and starts purging the oldest items
    2. the items are manually deleted by the site collection administrator from the site collection Recycle Bin

    Besides that, SharePoint Online retains backups of all content for 14 additional days beyond actual deletion. If content can not be restored via the Recycle Bin or Files Restore, an administrator can contact Microsoft Support to request a restore any time inside the 14 day window .
