How to set up OneDrive for Business as a shared file system?

Hello! I work for a small law firm and with the recent Windows upgrade, our old network storage won't work with Windows 10. I purchased OneDrive for Business thinking this would be a simple task...just upload all our files and we would have a shared folder just like the network drive. Unfortunately, I am having a lot of issues and seeing a lot of conflicting information on the internet on how to set this up properly.

First, I tried setting up a team and used the accounts I set up during the purchase of OneDrive for Business for the 4 members of our firm. When I log in to their accounts, I don't see any team or shared documents there. I know that they have permission to edit and should be able to access this team, but it doesn't show up.

Second, I tried uploading our documents to OneDrive. It's about 1G worth of information. The weird thing is that only the folders were uploaded but no documents or files in them.

I'm not sure what I'm doing wrong and I am very disappointed this isn't as intuitive as I thought it would be! I used OneDrive for my personal document storage and it's so simple. Please help! Thank you!

    Sorry to hear that.

    May I know what's the meaning of "team" mentioned in "I tried setting up a team and used the accounts I set up during the purchase of OneDrive for Business for the 4 members of our firm"?

    If the "team" is created before set up the 4 member's account, I would like to explain that you may set up a tenant in this step but not the team, so you cannot find any team or shared documents after logged into their accounts.

    Per your description, in this tenant, you should have one admin account and four user accounts at present. You may want to set up a shared folder in OneDrive for Business of the admin account so that four users can access and edit files in the shared folder. If what I understand is correct, you can follow the below steps to share a folder to other four users.

    1. Log in your admin account to portal.office.com and click the OneDrive icon to open OneDrive for business.
    2. Choose a default folder or Create a new folder that you want to share with other users, then you can hover on the folder and click the appeared Share button behind the folder name.

    *You can also click the vertical ellipsis behind the folder and select Share in the drop-down list.

    *You can also find the Share button on the above navigation bar after ticking the circle in front of the folder.

    1. On the pop up Send Link panel, you can choose a sharing level and enter other user's name of email address one by one, click Send.

    *The default sharing level may be "Anyone with the link can edit", you can also choose the People in <Your Organization> with the link or  the Specific people sharing level to share this folder to other users for the first time. Make sure the Allow editing option is selected.

    1. After send the sharing link, other users will receive an email about the information of the shared folder. After Open the link, they should be able to see, edit, download all files in the shared folder and create folders, upload new files or folders to the shared folder.

    For the second issue, may I know how you upload the documents? Directly click on the Upload button on the navigation bar and select Folder to upload folders with files? If so, you should be able to find the uploading process on the right part of the navigation bar. Click on the Uploading XXX items, will you find all files have Done the progress or is Waiting for load? Or you may find an error message of the upload progress?

    If all files stuck at the Waiting status for a long time, I would like to suggest you click the X button to stop the remaining upload tasks and try the below methods to check the results:

    1. Use the OneDrive sync client and drag folders (with files) directly to the local OneDrive sync folder. On the right part of the Windows task bar, click on the blue OneDrive cloud icon you can check the uploading progress.

    1. In the browser of the opening OneDrive for Business, enter a folder and click Upload -> Files, select corresponding files in local folder and upload again to check whether files can be uploaded successfully.

    At last, there have some limits for OneDrive/OneDrive for Business, you can refer to this article: Invalid file names and file types in OneDrive, OneDrive for Business, and SharePoint to learn more detailed information.

    We feel sorry for the inconvenience caused by these problems, and I can understand that you may feel boring during read these reference articles, but you indeed need to know these basic knowledges of OneDrive/ OneDrive for Business so that you can use OneDrive for Business easily and reduce possible issues during using the product in later days.

    I am having the same issue.  The problem is not sharing the folders.  This works fine and other users can edit them.  The problem is when they open the sharing link it goes to Onedrive but there is no sync option for them to sync the folder to their hard drive (a la Google Drive or Dropbox).

    There are some threads around suggesting shared libraries or Sharepoint is the answer but it would be much simpler to have this functionality.

    Hi Beth-Mike,

    Thanks for the feedback. Once login into the portal.office.com you can directly find the OneDrive icon.

    If you cannot find the OneDrive icon, you can click on the upper-left App-launcher -> All apps, Search for OneDrive.

    If you still cannot the OneDrive app, this means your Office 365 account has not been assigned to a license that including the SharePoint Online service.

    *You may directly click on the profile picture -> My account to access the My account page.

    Hi I am having the same issues.

    When following your instructions, the first step does not work.

    You say "1. Log in your admin account to portal.office.com and click the OneDrive icon to open OneDrive for business."

      • I login click on the Admin icon and I am now in the Admin Center. Nowhere do I see a "OneDrive" icon.
      • If I turn off the "Try the new admin center", then under the "Admin centers" in the left bar, I do see "OneDrive". If I click that it takes me to "OneDrive admin center".

    Your next step, "2. Choose a default folder or Create a new folder that you want to share with other users, then you can hover on the folder and click the appeared Share button behind the folder name."

      • I cannot find in any of the sections a place to choose a folder. 

    Please see attached file.

    Any further guidance would be great or a well written document that covers this step by step.
