Sharepoint - Auto Approve access requests to a team site.

Hi,

I am just wondering exactly what the auto approve feature does on a group within a sharepoint site.

I have read endless posts online stating that its not possible to auto approve a request for a team site but why is this an option then ?

The way this group is setup, I would of thought when the user requests access to the site it will default to this group. It will then give them automatically approve their request.

However, when users are requesting access to the site they do not get access until an owner/admin approves their request.

Any information on this would be appreciated. I would consider myself a beginner in sharepoint to please explain as simple as possible.

Thanks

    Hi Tylerd22,

Thanks for your valuable feedback and sharing updates with us and I really appreciate your effort and your precious time doing.

And I appreciate your kind words.

As I can conform, the option “Enable auto-approval” is for Group Settings and it's not related to SharePoint online Auto Approve access requests to a team site.

Users can become members of those groups without any intervention; the groups grant access to the sites. When we add owners or members to the Microsoft 365 group, they're given access to the SharePoint site along with the other group-connected services.

Regarding to, "request access but to the get automatically approved" I'm afraid unfortunately there is no way to auto approve requests for a team site and it’s not possible to enable auto-accept request. And we select “Approve” or “Decline” button, to approve or decline the request.

We feel your pain due to this limitation and we’re really feel sorry for it. Regarding to your concern, I request you please send/provided feedback to related development team via Microsoft SharePoint feedback portal, so that they can get notice about it, and we are sure it will speed up this process. Your advice is very important to us.

Your understanding and patience will be highly appreciated. I hope that you are keeping safe and well!

    Sincerely,

    Waqas Muhammad

    Hi ,

    Thank you for the response.

'The auto-access capability is contained within the settings of a group, and users must request to join the relevant group for the functionality to work.'

How does the user go about requesting access to that user group specifically ?

At the moment the user will be given the site URL but at that point they will select the request access button but this is for the site, not for the the group.

'When we select the Option “Enable auto-approval” in "Change Group Settings" will enable the auto approval of the members to join team site, if any team members, click on the Join Team site, they will be added to the Team site without any approval.'

Isn't this exactly what we have tested but it does not work ? I am slightly confused.

In short, for this site I do not want to have to press approve on requests or to manually add users to a specific sharepoint group foe the to get access to the site. I want them to request access but to the get automatically approved. Ideally they also get an email to their inbox to inform them its been approved.

I hope this makes sense, I may be miss understanding your statement.

    Thanks

    Dear Tylerd22,

Good day! Thank you for posting to Microsoft Community. We are happy to help you.

As per your description, please don’t worry, we can work together to narrow down and resolve the situation.

Based on my test result, I also meet the same behavior as like you described above (the auto-access requests doesn't work) in order to SharePoint online Team site auto approval process.

When we select the Option “Enable auto-approval” in "Change Group Settings" will enable the auto approval of the members to join team site, if any team members, click on the Join Team site, they will be added to the Team site without any approval. It's a separate site request action and will simply send an email notification to the recipient of your choice. The auto-access capability is contained within the settings of a group, and users must request to join the relevant group for the functionality to work.

If you want to auto-approving requests anyway, we suggest directly giving the user permission to the specific resource. You can create a SharePoint group to group up users with the same permission level and assign the group the permission instead.

Your understanding and patience will be highly appreciated. I hope that you are keeping safe and well!

    Sincerely,

    Waqas Muhammad
