Microsoft Team Shifts - For Hospital Use - Is it possible to add the areas that a nurse is certified to work in instead of creating all the groups and manually add the nurse to the right group?

Hello,

I was asking by my manager to research for a scheduling strategy for our centre.

Someone recommended Microsoft Shifts however I watched a few demo on Youtube but couldn't find what I was looking for.

We currently manage the nurses schedule with Excel spreadsheet. All the entries and modifications are done manually.

We have many different areas

  • Chemo
  • RT
  • PSC (Patient Support Care)
  • PSM (Pain and Symptom Management)
  • NP Calls
  • TNL (Telephone Nurse Line)
  • Triage
  • Breast Clinic
  • Gyne Clinic
  • BSURV (Transfusion Surveillance)

The shift times are 0730-1530, 0800-1600, 0900-1700, 0930-1730, 1000-1800 w/ 30mins unpaid break and 2 paid 15mins coffee breaks.

We have regular full-time, part-time and casuals.

For their shift start time, we have a master 4 weeks rotation for all the full-timers and part-timers.

We also have a list of their preferences. (Areas of work and maximum days per area). Not a lot of people can work 5 days straight in chemo.

This is just an example of the 4 weeks rotation. We manually assign the areas in red font. (This is only 1/4 of the nurses that we have)

Based on their shift start time and areas that they can work in, we handwrite something called a daily sheet. Right now, I use the COUNTIF function to make sure we have enough nurses in each area.

This is a copy of the daily sheet.

I don't expect Microsoft Shifts to autopopulate this daily schedule based on their shift time and preferences/conditions.

Do I create all the "groups" first then manually add the nurses? Can I modify an employee's group direct?

I am not an expert in Excel. I feel like this is doable but I do not know how.

Please help.

    I am not an expert in Shifts but I am curious to know your conclusions in the end of your study.

    In my opinion, Shifts is a simple app and works well with smaller businesses (eg therapists, counsellors).

    Yours might require a more dedicated (probably paid) application depending on how much automation you require.

    In any case please do share your findings. Would be great it Shifts can work in your situation.
