From Mac Help on the use of Colors:

Use colors in documents on Mac

In most macOS apps, you can use the Colors window (or use the color controls in the Touch Bar) to change the color of text and objects in documents. You can also assign a color profile to a document, to ensure the colors you see onscreen are the ones used when the document is printed or viewed on another computer.

The Colors window. At the top of the window is the toolbar, which has buttons for color sliders, color palettes, image palettes, and pencils. In the middle of the window is the color wheel. The color well is at the bottom left.

    1. In an app on your Mac, choose Format > Show Colors, Format > Font > Show Colors, or View > Show Colors. In some apps, you can click a button in the app toolbar or in a settings pane.
    2. Do any of the following:
      • Choose a color for selected text or objects: Click the color wheel, sliders, palette, image, or pencils button at the top of the window, then click a color. You can specify a more precise color by using the sliders or entering values.
      • Save colors to use again: At the bottom of the window, drag the color from the color well on the left to an empty well on the right. To remove a color, drag it to the Trash.
      • Assign a color profile: Click the Color Sliders button, then choose a slider (such as CMYK Sliders) from the pop-up menu. If necessary, adjust the colors by using the sliders or entering values. Then click the Color Profile settings button next to the pop-up menu to choose a profile. If your document’s colors don’t look right after assigning a profile, it might be that the app you’re using doesn’t recognize color profiles. Try assigning the generic version of the profile.

You can create your own custom color profiles using ColorSync Utility.

In your case use the Color Sliders to insert the RGB, CMYK, or HSB values for your brand colors.

Note that what you do there makes those colors available only in the current document. If you need to use those custom colors routinely you need to create them in a template on which to base future documents or use the instructions you've been given to include them in a set of Custom Theme Colors.

The Ribbon & Toolbar Preferences pane is disabled if there is no document window open. However, this has absolutely nothing to do with creating Custom Theme Colors.

To create Custom Theme Colors go to View> Slide Master as described in the last link Gunasekar5034 provided.

You also can review the instructions provided in PowerPoint Help on Custom Theme Colors

The document must be saved in the most recent *.docx format for themes and similar features to be fully supported.

That said, there are additional limitations in Word for Mac (compared to the corresponding Windows versions).

    Hi,

I just looked and in PowerPoint, it's just impossible to access the Ribbon preference at all (it's blocked). So there is no way to customize colours in Microsoft Word, in 2023? Well, that's kind of a basic thing... VERY disappointed by Microsoft.

    Hi Kathleen B,

I’m Gunasekar and I will be happy to help you with your question, I am a Microsoft consumer like you.

According to the article at https://support.microsoft.com/help/102a7b91-d9ce-4bbb-a681-6a1c2a71dcad, you should be able to create a custom color in PowerPoint which would then be available in Word as well.

It is undoubtedly a Word for Mac constraint. On the UserVoice forum, you can provide comments for Microsoft. https://feedbackportal.microsoft.com/feedback
