Hello,

I am working on the schedule for the engineering project management.

Task: Employees will purchase the good from supplier. That's his task to do. He added the End delivery date to the purchase order. Project block him for the entire duration. I have added one unit of usage. Even there are uncertainties to other projects.

How to avoid this over allocation,

Note : I cannot remove the task owner,

I cannot add any other individual to share the task responsibility.

       I cannot change the calender.

Example Case =

I have a task in my project to purchase an article.I placed an order on Amazon. In project management, I entered the delivery date as the task end date, when the article will be delivered within a week or two months.According to the project, the shareholder is busy until the completion of the task. which is not realistic

How come this can be avoided ?

If you are unable to change the task owner, add additional resources, or change the calendar, there are still a few options you can consider to avoid overallocation in your project management schedule:

    1. Adjust task duration: You can try adjusting the duration of the task to better reflect the actual amount of work required. For example, if the task of purchasing an article from a supplier only requires a few hours of work, you can set the task duration to be shorter, rather than blocking the resource for the entire delivery period.
    2. Use task types: You can use different task types, such as fixed duration or fixed units, to control how resources are scheduled for a task. For example, if you set a task to be fixed duration, the duration of the task will remain constant even if you assign additional resources or change the work estimate.
    3. Use effort-driven scheduling: You can use effort-driven scheduling to automatically adjust the duration or work estimates for a task based on the number of resources assigned. This can help ensure that resources are not overallocated by automatically adjusting the schedule based on the availability of resources.
    4. Use resource leveling: You can use the resource leveling feature in your project management software to automatically resolve overallocations by delaying or splitting tasks. This can help balance the workload of your resources and avoid overallocation.

I hope these suggestions help you avoid overallocation in your project management schedule!

    Hello

I’m Adeyemi and I’d be happy to help you with your question.

Overallocation occurs when a resource is assigned more work than they can complete within a given time period. To avoid overallocation in project management, you can take several steps to manage resource workloads and ensure that resources are not assigned more work than they can handle.

One way to avoid overallocation is to add lead or lag time to a task. This can help delay one of the tasks assigned to the resource, ideally a task with lower priority than the others. If you add delay that is less than or equal to the amount of slack on the task, you will not affect the finish date of the project.

Another way to avoid overallocation is to control resource availability throughout the project. This can be done by increasing the span of dates during which the resource is available, or by specifying additional unit availability. This can help resolve chronic overallocations over a period of time.

You can also find a resource with available time by filtering through a list of enterprise resources by skills and availability. This can help you find an available resource to take on some of the workload and reduce overallocation.

In addition, you can decrease task duration, assign an additional resource, or remove or replace a resource to help resolve overallocation. https://support.microsoft.com/en-us/office/project-management-goal-resolve-resource-allocation-problems-cd56604a-f660-4ab2-b074-4cfafaef982d

    I hope this helps!
