How do you edit a built-in theme?

Recently my work and personal PCs received an update that changed the default font in all Office products to "Aptos". Obviously I don't want a font that's hard to read as my default, so I started to change the default fonts on my work computer back to Calibri. But this is a long, annoying process that I don't want to have to repeat across all my computers, and for some reason Excel won't let me change the font anyway.

But I realized that in every app it says (Body) and (Heading) next to the two Aptos options. So all I need to do is edit those and the change should roll through all applications. Word will fully show the Office theme, which is clearly where the font setting is pulling from, but correcting the font only changes the theme for the current document.

So how do I edit this theme so that I don't have to go through all this trouble to fix a problem that shouldn't exist in the first place?

This is just how to change the default font in Excel and Word, which I already know how to do and is what I explicitly said I was trying to avoid.

I want to change the built-in Office theme so that it rolls across all the Office apps without me needing to do it in each individual application. This is especially important since I've subsequently learned that Access doesn't have an option to change the default font.

Hello Allen, I understand your needs for a unified interface experience, and you want to find a simple one-time method to apply settings to all Office applications. But unfortunately, currently Microsoft does not provide such feature. You need to set for each individual application separately.

And for Access, I've found a post on Stack Overflow that may contain a possible solution: How can I change the default datasheet font in MS Access 2016? - Stack Overflow

    Hello Allen,

    Welcome to the Microsoft Community.

It seems you have some issue with the changes in Office themes. I understand that you have made some efforts to modify the default fonts. But I'm not sure if you have done the operations correctly. Editing a built-in theme across all Office applications can be a bit tricky, but here’s a step-by-step guide to help you change the default font from “Aptos” to “Calibri”:

    1. Open Word or Excel: These applications provide the most straightforward way to edit themes.
    2. Go to the Design Tab: In Word, click on the Design tab; in Excel, it’s the Page Layout tab.
    3. Access the Fonts Menu: Click on Fonts Imageand then choose Customize Fonts.Image
    4. Change the Body Font: In the Create New Theme Fonts dialog, select “Calibri” as the body font.
    5. Change the Heading Font: Similarly, choose “Calibri” or another preferred font for headings.
    6. Save the Theme: Give your new theme a name and save it.
    7. Set as Default: To make this theme the default for all new documents, click on Set as Default.

For Excel, if you’re unable to change the font directly, try setting the default font through the Excel Options:

    1. Open Excel Options: Go to File > Options.
    2. Go to General Settings: In the Excel Options dialog, look for the General settings.
    3. Change the Default Font: Here, you should be able to set “Calibri” as the default font.

Remember, these changes will apply to new documents or sheets you create. For existing documents, you’ll need to apply the newly created theme manually.
