Issue with Sending Updated Versions of Word Files from Mobile Devices

I am experiencing an issue with sending updated versions of Word files as PDFs from the Teams app on mobile devices. Specifically, when I follow the steps to edit a document on my mobile and then send it as a PDF via Outlook, the sent PDF does not include the most recent edits made on the mobile device. Instead, it appears to only include the last edits made on the PC.

Could you please assist in troubleshooting this issue? Here are the steps I am following:

  1. Open the Teams app on my mobile device.
  2. Navigate to the team and channel where the Word file is stored.
  3. Open and edit the Word file.
  4. Ensure the changes are saved automatically.
  5. Tap on the three dots (menu) in the top right corner and select "Share".
  6. Choose "Send a copy" and then "Create PDF".
  7. The PDF opens in the Office app.
  8. In the Office app, tap the share icon and select "Outlook".
  9. Fill in the recipient's email address, subject, and message.
  10. Tap "Send".

Despite following these steps, the PDF sent does not reflect the recent changes. I have ensured that my device is connected to the internet and that the Teams and Office apps are up to date.

It works on other devices most android but on one iphone device it never works

    Hi Adrian Gulbrandsen,

It seems to be related to sync issue of Word on specific mobile devices. For these devices consistently experience the issue, can you check if the changes made on phone are reflected in Teams/SharePoint/OneDrive using browser on PC?

If the changes are reflected. try below actions on these mobile phone after Step#4 in your initial question to see the result:

    4. Ensure the changes are saved automatically.

    5. Close current Word/Teams app

    6. Reopen this file via Word/Teams app

    7. Tap on the three dots (menu) in the top right corner and select "Share".

    8. Choose "Send a copy" and then "Create PDF".

    9. The PDF opens in the Office app.

    10. In the Office app, tap the share icon and select "Outlook".

    11. Fill in the recipient's email address, subject, and message.

    12. Tap "Send".

    Regards,

    Ryan

    Greetings, Tina!

Thank you for your prompt response and willingness to assist.

To address the points you've raised:

    1. The files are sourced from either Teams, SharePoint, or OneDrive from the PC. When the document is edited on the mobile device and the same document is open on the PC, the changes are visible and saved on the PC.
    2. No, the recent changes are not visible in the PDF document generated via "Send a copy" > "Create PDF".
    3. The issue varies; some users experience it consistently, while others encounter it sporadically. It appears to be very unstable.

I hope this information helps in diagnosing the issue. Thank you for your continued support and cooperation. I look forward to your guidance on resolving this matter.

Caveat, I do not use the mobile or browser Word programs to edit or create important documents. My experience with doing so has been that much of my formatting can be messed up. I also want the capability of the desktop application.

When the pdf opens in the Office app (step 7), does it reflect your changes?

If so, something else seems to be what is sent.

    Dear Adrian Gulbrandsen,

Greetings! Thank you for posting in Microsoft Community. We are happy to help you.

Thank you for providing the detailed steps you have taken. It sounds like you are experiencing an issue with the synchronization of the Word file between your mobile device and the Office app.

To narrow down the situation, I would appreciate if you could help confirm the following information:

    1. May I know if this issue only occurs in the PDF file sent via Outlook? Can you see the recent changes in the original Word document in team and channel?
    2. When you generated PDF via "Send a copy" > "Create PDF", can you see those recent changes in the PDF file?
    3. Does this issue happen to all files in the team channel? If yes, may I know if other users in your Microsoft 365 organization encounter this issue?

Look forward to your reply. Thanks for your time and cooperation!

Please understand that our initial reply may not always immediately resolve the issue. However, with your help and more detailed information, we can work together to find a solution.

Thanks for your cooperation and understanding.
