Error when inserting file printout in OneNote: Require Microsoft XPS Essentials (Windows 11)

Hi, recently when I tried to upload some past paper printouts onto my OneNote so that I could do these for my revision, I encountered this error:

My PC is a Windows 11, so the error shouldn't exist (as this should be pre-installed in Windows 10 and later versions already). Strangely enough, when I upload some files this error pops up, but there are no problems for other files. Why is this the case, and how to resolve this issue? Many thanks!

    The most relevant question of Sophia is #3.

    If your PC has an ARM processor you cannot use Send To OneNote with OneNote from Office.

    Only OneNote for Windows 10 has a working printer driver for Send To OneNote for ARM.

    Dear User,

    Thanks for writing back and updating with us. Apologies for the delay in the response.

    As per the further updates, it’s strange that the problem happens only with the PDF files and I would like to request you to try the following steps and see whether there is any success:

    Quit Office apps> Open the Control Pane> Programs> Turn Windows features on or off> Enable Microsoft XPS Document Writer, Microsoft Print to PDF> Click OK> Restart your device and open the OneNote Notebook to insert the PDF file as a printout to check the outcome.

    If still the same problem happens, I would like to request you to perform Online Repair to the Office apps and check the outcome: Repair an Office application - Microsoft Support

    If still there is no success, I would like to request you to check the behavior in the OneNote for the web and see the outcome:

    Open your browser> Access https://portal.office.com> Enter your Office 365 account details> Click on the 9 dots at the top left> Click on the OneNote> Open any Notebook or create a new Notebook> Go to page and click on Insert tab> File> Insert File Printout and see the outcome.

    If there is no problem with OneNote for the web, then I think you should go with complete uninstallation of the Office apps and re-install them:

    Uninstall Office from a PC - Microsoft Support (Option 2)

    Download and install or reinstall Microsoft 365 or Office 2021 on a PC or Mac - Microsoft Support

    Note: After uninstalling the Office apps, please restart your PC and install the Office apps again.

    After performing the above methods, please update with the results so that if the problem is not resolved, we will check internally and guide you further.

    I understand your concern and I would like to let you know that I have tested the behavior at my end, where I am not able to reproduce any error when inserting the file printouts and I am using the latest version of the Windows 11 OS & OneNote app.

    In this situation, I would like to confirm the following information which will help us to better understand and guide you further:

    1. OneNote app Account page screenshot: Open your OneNote app> File> Account> Take a screenshot and share it with us.
    2. Does the problem happen when you insert specific file type as a printout? If yes, please share the file type or sample file with us.
    3. What’s your Windows OS processor? Go to your About your PC on your Windows and check the processor.
    4. Are you using the Microsoft personal account (@outlook.com) or Microsoft work/school account (@companyname.onmicrosoft.com)?
