Microsoft Booking: How to show the end users the available slots in their local time zones from a shared Booking calendar without self-service published booking page?

Hi Microsoft Community,

I am struggling to find a solution for an issue I am facing with time zones.

Basic Info:

  • Application: Microsoft Booking (business)
  • Shared Booking Calendars
  • No self-service (not published)

Use Case:

We are using Microsoft Booking to schedule interviews with applicants from all over the world. The team is also not based physically in the same geography. We schedule/book the interview on behalf of the applicant, giving them the option to reschedule.

Problem:

When the applicant starts the rescheduling process, they see the available slots in the time zone of the interviewer (the user who booked the appointment) and not their local time zones. They indeed have the option to choose the correct time zone from the drop-down. However, this is not ideal because not everybody will spot this option and it will create confusions.

Setup

  • To make it easier, we created different shared booking calendars to fit different geographies/timezone.
  • Option to "Always show time slots in business time zone" is unchecked.

Example:

  • As a recruitment manager, I created a calendar for a team based in UTC+8
  • If an interviewer schedules an interview for an applicant who is based in UTC+9 and the applicant wished to reschedules, they still see the available options in UTC+8 and not UTC+9

Testing:

  • With the settings above, I tried to reschedule an interview for a user in UTC+8. However, I am based in CEST zone.
  • End user sees the available time slots in CEST time zone and not in UTC+8

Could you maybe help me with this issue? If you need more info, please do let me know.
