Email Retention Policy

We have created a new retention policy in outlook for 2 year delete.

We are testing and have assigned it to 3 users, however it has been over 2 weeks and old emails are not being deleted automatically as per the policy which has been setup.

It does work for 1 user but the other two are still seeing emails older then 2 years. Are you able to assist in taking a look as to why this is not applying….

As per your description, regarding the email retention policy in Outlook, it seems like that you have created a new retention policy to delete emails older than two years. While the policy works for one user, it has not yet taken effect for two other users after more than two weeks. [correct me if I am wrong].

To better understand your issue, I need some addition information so that we can narrow down the main reason and find out the root cause by working together.

Please correct me if I am wrong and I need your help on sending all the answers along with the data only via Private Messages - Microsoft Community.

  • May I know your affected account type and subscription including the UPN?
  • Are you an on-premises mail user?
  • Do you have hybrid configuration or environment? or running as fully cloud environment?
  • Have the affected users' mailboxes been synchronized recently, or are there any sync-related errors in their Outlook clients?
  • Are there any custom retention tags or policies applied to specific folders that could override the two-year delete policy?
  • Are the users seeing any warnings or notifications about the retention policy in their mailbox?
  • Are all three users assigning the same retention policy, and are they using the same version of Outlook?
  • Have you confirmed that the retention policy is applied and visible in the affected users' mailboxes through the Exchange Admin Center or PowerShell?
  • Are you a global administrator user or an End user?
  • Do you have access to Microsoft 365 Admin Center?
