How do you schedule multiple face-to-face internal training events through Microsoft Bookings?

We conduct multiple in-person inductions throughout the year for new starters in our organisation. Recently, we've encountered challenges with managing registrations and tracking attendees efficiently. We are currently just manually tracking from our HR portal and send new starters Outlook calendar invitations. We are getting mixed results with people not responding to the invitation, giving us travel forms, or giving us their dietary requirements.

We're considering using Microsoft Bookings to streamline this process and would love to get some insights from the community on its feasibility.

Here’s what we're aiming to achieve:

  • Event Structure: Each induction event spans two days. Day 1 is mandatory for all new starters, while Day 2 is specifically for clinical staff. We prefer that attendees register once for the entire event, and we will manually identify those required for Day 2 based on their roles.
  • Specific Dates and Times: The inductions are scheduled on specific dates throughout the year, not generally 'Tuesdays'. Instead, they would be e.g. 23rd-24th January, 15-16th February, 24-25th March, etc.
  • Custom Registration Forms: We need to collect additional information from attendees, such as dietary requirements and whether they require travel or accommodation. I was able to add custom questions to my test to gather this information. However, if they select 'Yes' from the drop-down question to requiring travel, I would like to make them fill out the Travel and Training PDF or link them to it. There doesn't seem to be a way for the system to trigger another button or something similar based on what they answered for that question?
  • Email Reminders: It is crucial to send custom email reminders to participants. We have set up reminders to be sent out 2 weeks before the event for travel form submissions and 1 week before the event to remind attendees of their registration. This seems to be doable in the system.
  • Manager Registrations: Ideally, we want managers to have the ability to register their team members on their behalf to streamline the process further.
  • Tracking and Overview: We require an overview of all registrations and the ability to track who has registered, ensuring we can follow up with those who haven't. It seems we may be able to see this from the 'Customers' tab?

I have conducted a test booking with these settings, including selecting the 'not bookable' option under general availability and setting specific availability dates and times. However, it kept saying that no dates were available? I am not entirely sure if it will function as needed across multiple events.

Could anyone share their experiences or advice on whether Microsoft Bookings can meet all these requirements? Any tips or alternative solutions would be greatly appreciated.
