Microsoft Form - migrate Excel spreadsheet to SharePoint

Hi community,

I have a form that I created in MicroSoft Forms. I want to have the Execl spreadsheet that is tied to this form like in a SharePoint folder. Is there a way to map the spreadsheet to a SharePoint folder or a particular destination? I don't want it living in th My Documents folder because I will never find the data. I want it to be in a folder that is relevant to the project it is supporting. I also want it to be available to everyone in my organization (via SharePoint) instead of me having to share it each time.

Ideas?

    Yes and if you manually move the file on Onedrive then Forms doesn't remaining linked to this file. So when you try to open the excel spreadsheet from Forms it returns an error message as it can't sync and the only choice is to sync anew file which returns you back to the problem that one doesn't want excel spreadsheets for forms in my personal folder and accessible to me only. I want to have this data in another folder altogether.

    So I have setup Power Automate to do just this, but real value of power automate is further downstream with processing the results and not the simplest of task of replicating a speard sheet in another folder. IMHO: This should have been a configuration setting on Forms and the question is why isn't it?

    You can map your Excel spreadsheet tied to a Microsoft Form to a specific SharePoint folder and make it accessible to everyone in your organization by ensuring your form is set up in Microsoft Forms and linked to an Excel spreadsheet by selecting "Open in Excel." This will create a workbook in your OneDrive.

    In second step you need to move the Excel File to SharePoint, and this can be done in two ways

    • Manual Move: Move the Excel file from OneDrive to the desired SharePoint document library. This can be done by downloading the file from OneDrive and uploading it to the relevant SharePoint folder.
    • Automated Flow: Use Power Automate to create a flow that transfers form responses directly to an Excel file stored in SharePoint. This ensures the data is continuously updated without manual intervention.

    I understand how important it is to get it done.     Meanwhile, as you know this beyond of our expertise, but I tried to do my research on internet I found that to set it up an automated flow in Power Automate, first create a flow by selecting the trigger "When a new response is submitted" and choosing your form. Next, get response details by adding the action "Get response details" and selecting your form and response ID. Then, add a row into a table by configuring it to point to your SharePoint site, document library, file, and table. Ensure each form field is correctly mapped to the corresponding column in your Excel table. To make the Excel file accessible to everyone, upload the Excel file to the relevant SharePoint folder. Finally, set permissions by going to the SharePoint document library, selecting "Share," and choosing "Anyone with the link" or "Specific people" to share with your organization, setting the appropriate permissions (view or edit), and sharing the link.
