    Hi Mia,

I appreciate the detailed response I received earlier, but I believe it doesn’t fully address my specific scenario, so I’d like to clarify and seek additional guidance.

My goal is to create a feedback survey using Microsoft Forms and automate the process so that the survey link is sent to users automatically after resolving a support request on my IT service desk. We are 15 IT officers, and after any of us sends a resolution email to a user, the feedback request should go out.

Here’s the flow I’m trying to achieve:

    • After an IT officer sends a resolution email to the user (from their Outlook account), I want Power Automate to detect that action (specifically, a sent email with a subject like “Resolved” or “Issue Closed”).
    • Once detected, Power Automate should automatically send a follow-up email to the same user with the feedback survey link.

    I’m wondering:

    • Is there a reliable way to set up a Power Automate flow to monitor Sent Items and trigger an email with the survey link upon detecting a closure email?
    • If not, is there a workaround to achieve this type of feedback request without using a ticketing system?

Any guidance, detailed steps, or alternative approaches would be greatly appreciated!

Thank you so much in advance!

    Hi Ambaw Adisu,

To create a feedback survey using Microsoft Forms and integrate it with Power Automate to send the survey link automatically after resolving a support request on your IT service desk, here is a step-by-step guide to achieve your goal:

Step 1: Create a Feedback Survey using Microsoft Forms

    1. Open Microsoft Forms:
    2. Create a New Form:
      • Click on New Form.
      • Add a title and description for your survey.
      • Add questions to your survey by clicking on Add New. You can choose different types of questions such as multiple choice, text, rating, etc.
    3. Customize Your Survey:
      • Customize the survey settings by clicking on the three dots (More options) in the top right corner and selecting Settings.
      • You can choose to collect responses anonymously or require respondents to sign in.

Step 2: Integrate with Power Automate

    1. Open Power Automate:
    2. Create a New Flow:
      • Click on Create in the left-hand menu.
      • Select Automated cloud flow.
    3. Set Up the Trigger:
      • In the Build an automated flow window, search for and select the trigger When a response is submitted from Microsoft Forms.
      • Select the form you created in the Form Id dropdown.
    4. Add an Action to Get Response Details:
      • Click on New step.
      • Search for Get response details and select it.
      • Choose the same form in the Form Id dropdown.
      • In the Response Id field, select Response Id from the dynamic content.
    5. Add an Action to Send an Email: (If you want the automatic survey link is sent to someone/groups by emails.)
      • Click on New step.
      • Search for Send an email (V2) and select it.
      • Configure the email action to send the survey link to the appropriate recipients.
    6. Save and Test Your Flow:
      • Save your flow and test it by submitting a response to your form.
