Aptos Font Still Cuts Off in PDF – Microsoft Print to PDF Has No Font Settings

Hi again,

Thanks for the quick reply earlier. I tried following the workaround suggested by Jade (disabling “Rely on system fonts only,” changing PostScript options, and setting TrueType fonts to “Download as Softfont”), but I’ve run into a problem:

I’m using Microsoft Print to PDF, and it turns out none of those settings exist in this driver. There’s no option for:

  • “Rely on system fonts only”
  • PostScript optimization
  • TrueType font handling

I checked the Advanced tab and Printing Preferences, but those options are simply not available. It seems they only exist in the Adobe PDF printer driver, which I don’t have installed.

I still need to use the Aptos font (switching fonts is not an option), and the text continues to get cut off when exporting to PDF.

Any suggestions for how to fix this using Microsoft Print to PDF, or do I absolutely need to install Adobe Acrobat or another PDF printer?

    I understand you're stuck with the text cutoff issue in PDFs when using the Aptos font in Microsoft Word, and the suggested workaround doesn't apply because those advanced font and PostScript settings are indeed exclusive to the Adobe PDF printer driver (not available in Microsoft's built-in Print to PDF). This appears to be a rendering glitch specific to how Microsoft Print to PDF handles certain fonts like Aptos, especially after recent Office updates—it's not uncommon and has been reported in community forums as a font embedding or line spacing mismatch during the print process. 

    1.Switch to "Save as PDF" instead of "Print to PDF" 

    • This is the easiest first step and often bypasses the cutoff problem because Word's "Save As" or "Export" feature uses a different PDF generation engine that better embeds fonts and handles rendering (unlike the print driver, which can truncate text due to how it processes page layout). 
      • Open your Word document.
      • Go to File > Save As (or File > Export > Create PDF/XPS Document—it's the same thing).
      • Choose a location, set the file type to PDF.
      • Click Options (below the file name field):  
        • Check ISO 19005-1 compliant (PDF/A) to force font embedding.
        • Uncheck Bitmap text when fonts may not be embedded (this prevents rasterizing text, which can cause quality loss but might help with cutoff in rare cases).
        • Ensure Optimize for: Standard is selected for better quality.
      • Click OK, then Save.
    1. Install Aptos as a System Font 
    • Sometimes, the cutoff happens because Aptos (an Office-specific font) isn't fully recognized as a system font during PDF generation. Downloading and installing the official Aptos font package can make it available system-wide, improving compatibility with Microsoft Print to PDF.
    • Steps:  
      • Download the Aptos font family from Microsoft's official site: Microsoft Aptos Fonts Download.
      • Run the installer (it's free and safe—about 2.8 MB).
      • Restart Word after installation.
      • Try printing to PDF again (File > Print > select Microsoft Print to PDF > Print).
    • This has resolved similar PDF rendering issues for users, as it ensures the font is embedded correctly without relying on Office's internal handling.

    3.Adjust document settings to prevent cutoff: 

    • If the text is truncating at the edges of lines or pages, it might be a layout quirk with Aptos's metrics (it's slightly taller/wider than older fonts like Calibri).
    • Steps:  
      • In Word, go to Layout > Margins > Custom Margins and increase the bottom and right margins by 0.1–0.2 inches (e.g., from 1" to 1.1").
      • Check File > Print > Page Setup for any scaling options—set to "No Scaling" if available.
      • In the Print dialog (before selecting Microsoft Print to PDF), ensure the print quality is set to high (though options are limited).
      • Save and retry PDF export.
    • This is a quick tweak that doesn't require new software.
