I understand how frustrating it can be when your Outlook view suddenly changes on its own. It can disrupt your entire workflow. Please don't worry, this is a very common issue, and it's usually caused by a recent update or an accidental click. We can almost always get it back to the way you like it.
Let's go through the most common reasons this happens and how to fix them. I'll provide instructions for both the Classic Desktop Outlook (part of the Office suite) and the New Outlook / Outlook on the Web (accessed in a browser or through the newer app), as the steps are slightly different.
Option 1. Is your inbox suddenly split into "Focused" and "Other"?
This is the most frequent cause. Microsoft's "Focused Inbox" feature automatically sorts your emails, and it can be enabled by an update.
- For Classic Desktop Outlook:
- Click on the View tab at the top.
- Look for a button that says "Show Focused Inbox." If it's highlighted, click it to turn it off. Your inbox will immediately return to a single, unified view.
- For New Outlook / Outlook on the Web:
- Click the Settings gear icon ⚙️ in the top-right corner.
- In the "Mail" > "Layout" section, scroll down to "Focused Inbox."
- Select the option "Don't sort my messages."
Option 2. Are your emails grouped by date (e.g., Today, Yesterday, Last Week)?
This is caused by the "Conversation" or "Grouping" view.
- For Classic Desktop Outlook:
- Click the View tab.
- In the "Arrangement" section, you might see that "Date" is selected. Look for a checkbox that says "Show as Conversations" and uncheck it.
- If that doesn't fix it, in the same "Arrangement" group, click the small down-arrow to open the list and ensure it's set to how you prefer (often just "Date" with conversations turned off).
- For New Outlook / Outlook on the Web:
- Click the Settings gear icon ⚙️.
- Go to Mail > Layout.
- Under "Message organization," you can choose between "Group into conversations" and "Show each message individually." Select the individual option to remove grouping.
Option 3. Is the Reading Pane in the wrong place or missing?
Your Reading Pane might have been moved to the bottom or turned off completely.
- For Classic Desktop Outlook:
- Go to the View tab.
- In the "Layout" section, click on Reading Pane.
- Select "Right" (the most common view), "Bottom," or "Off" to set it back to your preference.
- For New Outlook / Outlook on the Web:
- Click the Settings gear icon ⚙️.
- Go to Mail > Layout.
- Scroll to "Reading pane" and choose your preferred setting.
Option 4: If you've tried the above and the view is still wrong, you can reset it to the default settings.
- For Classic Desktop Outlook (The Most Powerful Fix):
- Click the View tab.
- In the "Current View" section, click "Reset View." Confirm your choice. This will restore the factory settings for the selected folder (e.g., your Inbox).
- If that fails, there is a more forceful method:
- Close Outlook completely.
- Press the Windows Key + R on your keyboard to open the Run dialog.
- Type
outlook.exe /cleanviewsand press Enter. - This command will restore all default views for your entire Outlook. Note: This will reset any custom views you have created.
