Can you have a retention period on a sensitive labeled file in MS Purview? I know that this can be done in SharePoint at the SharePoint folder or file level, but what if a labeled file is sent via Email? Can there be a retention period on that labeled file? I assume that the user (recipient) would need to be removed from the label policy, but would that be suffice?

You can, but unlike sensitivity labels, retention labels/tags only function within the confines of your own tenant. There is no way to enforce a retention period for an item you sent to an external recipient via email. Although you can achieve something similar with the "Allow access to labeled content to expire" settings for a sensitivity label: https://learn.microsoft.com/en-us/purview/encryption-sensitivity-labels#assign-permissions-now

    Hi @Mark Sannuti (C-Admin)

Thanks for contacting to Microsoft Q&A.

It looks like you're asking about applying a retention period to sensitive labelled files in Microsoft Purview, especially for files sent via email.

Yes, Microsoft Purview supports setting retention periods on sensitive labelled files, including ones shared through email. The way it works can vary a bit depending on how the label is applied and whether the file is in SharePoint, Exchange, OneDrive, or another service.

Retention labels work at the item level — for example, a single document or email — and let you set rules to keep or delete content under certain conditions.

Retention policies, by contrast, apply more broadly at the container level, such as an entire SharePoint site or an Exchange mailbox.

You can also set retention labels to apply automatically based on things like:

    • Sensitive information types (SITs)
    • Keywords or metadata
    • Trainable classifiers

Once a label is applied, it stays with the file wherever it goes. So if a labelled document is emailed or moved to a different location, the retention rules still apply as long as the label is properly configured.

    Few recommended documentation -

What happens when you email a labelled file?

If you send a file that already has a sensitivity label, the label stays with it. Any retention settings tied to that label will still apply.

You don’t need to remove the recipient from the label policy for retention to continue working, but the label’s permissions and scope need to be set up correctly so it applies for everyone who receives the file.

Microsoft Purview also offers adaptive scopes and event-based retention, which let you apply policies dynamically — for example, when an employee leaves the company or when a contract reaches its end date.

    Reference doc -

I hope this addresses your concern.

    Thanks,
    Vrishabh
