Dear @Yvonne Wambua,

Thank you for contacting Microsoft Q&A.

From what I’ve seen in similar reports and after testing this myself, this usually happens when you're accessing or editing documents through a shared link, especially one that was created using the option “Anyone with the link can edit.”

Even if you're signed in, SharePoint may still treat you as an anonymous or guest user in that context, which leads to restricted permissions, like not being able to access all documents or copy links to files you've uploaded.

To help figure this out, could you share a bit more?

  • Are you accessing the site directly from your organization, or through a link someone shared with you?
  • What exactly happens when you try to copy a link is the option missing, greyed out, or does it give an error?

In the meantime, here are a few things you can try:

1. Open the document directly from SharePoint (not via shared link)

If you have access to the full site, try navigating to the document library directly instead of using the shared link. This helps ensure SharePoint recognizes you as an authenticated user.

3. Clear your browser cache and cookies

Old sessions or cached data can cause SharePoint to misidentify your account. Try signing out of all Microsoft accounts, clearing your browser cache, and signing back in.

4. Ask the file owner to share with you directly

Instead of using “Anyone with the link,” they can share the file with your specific email address. This gives you full permissions and avoids guest mode.

Please understand that our initial response does not always resolve the issue immediately. However, with your help and more detailed information, we can work together to find a solution.

I hope this information helps point you in the right direction. If you run into any issues while trying the steps, or if something still doesn’t feel quite right, please don’t hesitate to reach out again. I’ll do my best to support you however I can.

Looking forward to hearing back from you with any updates or additional details.

Warm regards,
