I wish to clean out my old emails in the main app of Outlook. I can keep my desktop Outlook app clean but the total unneeded emails are still over 4,000.

    Hello Rusty,

The reason those emails remain is that they’re stored on the server, so deleting locally doesn’t fully clear them. Open Outlook and go to File > Tools > Mailbox Cleanup, which lets you search for old emails by date or size and delete them in bulk. You can also sort your inbox by date and select older emails to delete in large batches, then empty the Deleted Items folder to permanently remove them.

If you want to keep old emails but remove them from your active mailbox, use File > Archive to move them into an archive file (.pst). Another quick method is to use the search bar with filters like received:<2023-01-01 to find and delete emails older than a certain date. Finally, if your account is connected to Exchange, Microsoft 365, or IMAP, log in to your webmail and repeat these steps because the server holds the actual data.

To clean out your old emails in the Outlook web app, you can follow these steps:

    1. Log in to Outlook on the web: Go to the Outlook website and sign in with your Microsoft account.
    2. Select the folder: Navigate to the folder (like Inbox or any other) where you want to delete emails.
    3. Use the search function: If you want to delete specific types of emails, use the search bar to filter emails by sender, subject, or date.
    4. Select emails: You can select emails individually by clicking the checkbox next to each email. If you want to select multiple emails, you can click the checkbox at the top to select all emails on the current page.
    5. Delete emails: Once you have selected the emails you want to delete, click on the Delete button (usually represented by a trash can icon).
    6. Empty Deleted Items: To permanently remove the deleted emails, go to the Deleted Items folder and select Empty folder to remove all items.
    7. Use bulk deletion: If you have a lot of emails to delete, consider using the bulk deletion feature. You can create a bulk deletion job to remove emails based on specific criteria, such as age or size.

By following these steps, you should be able to clean out your old emails effectively in the Outlook web app.
