Outlook and Google Calendar synchronize

Question - is there a best practice for the calendar? I'm trying to exclusively use Outlook, and when I create a meeting in Outlook, it doesn't show on the Google Calendar, but people still on Google, don't see my unavailability, since they apparently don't see Outlook. I don't want to manually maintain Google calendar, and I don't want to add my old email address to the invite, so was hoping that there was a better best practice/solution.

    Hello Grace,

The best practice is to avoid manually maintaining both calendars and instead set up syncing between Outlook and Google. You can do this by publishing your Outlook calendar as an ICS link and subscribing to it in Google Calendar (though this is usually one-way and updates can be delayed), or by using two-way sync solutions like Google Workspace Sync for Microsoft Outlook (GWSMO) or third-party tools such as CalendarBridge or Sync2, which keep both calendars updated automatically.

Another option is to add your Google account directly to Outlook so you can manage everything in one place without juggling invites or adding old email addresses. This way, your availability is consistent across platforms, and you can keep Outlook as your main calendar without losing visibility for Google users.

To synchronize your Outlook calendar with Google Calendar effectively, you can consider the following best practices:

    1. Use the Teams Meeting Add-on: If you are using Google Workspace, you can install the Teams Meeting add-on from the Google Marketplace. This allows you to create Teams meetings directly from Google Calendar, which can help in managing your availability across both platforms.
    2. Import Google Calendar into Outlook: While you prefer to use Outlook, you can import your Google Calendar into Outlook. This way, any events created in Google Calendar will be visible in Outlook, allowing you to manage your availability without needing to maintain two separate calendars manually.
    3. Calendar Syncing: If your organization uses Microsoft Teams, consider setting up calendar syncing between Google Workspace and Microsoft Teams. However, note that syncing personal Google accounts with Teams is currently not supported.
    4. Manual Updates: If automatic syncing is not feasible, you may need to manually update your Google Calendar with important events from Outlook to ensure that your availability is accurately reflected for others using Google Calendar.

By following these practices, you can minimize the need for manual maintenance and ensure that your availability is communicated effectively to others.
